Job Title: Ethics and Compliance Specialist


Location: Istanbul, Turkiye
 


Job Purpose:


Ethics & Compliance Specialist primarily focuses on management and increasing the effectiveness of the local E&C program within the country.


E&C will respond rapidly to changing environment and business needs – it is close to the market and encourages ethical behaviour in line with Takeda’s values. By working in an agile manner E&C ensures the balance between stable structures, governance, processes and systems, and dynamic approaches to delivering innovative solutions to appropriately manage our risks.


E&C commits to:


  • Act as role model for Takeda's values, ethics and values-based decision making, fostering this mindset in clients, partners and team,


  • Enable the organization to take decisions which are ethical and in line with our priorities of Patient, Trust, Reputation, and Business, in that order.


  • Collaborate across all E&C teams and partner with stakeholders in BU / BF to embed ethics and compliance as part of the way everyone works at Takeda.



Role Core Responsibilities & Accountabilities:


  • Collaborate across all LOC teams and partner with stakeholders in LOC to embed ethics and compliance as part of the way everyone works at Takeda.


  • Act as a key member of Turkiye Ethics and Compliance team provide support for the delivery of the ethics and compliance program across Turkiye.


  • Governance: Support E&C team for the governance of LOC RECC meetings by actively managing all logistics and administrative requirements. This includes organization of meetings, archiving of meeting minutes, follow-up of agreed action items.


  • Communication: Support E&C team for  establishing agile and effective communication platforms.


  • Policies and Procedures:  Provide support for timely updating all global/regional/local policies and procedures and communicate all changes to internal customers via reminder e-mails.


  • Monitoring: Support E&C Manager for the quarterly monitoring process and archive all deliverables (Monitoring Protocol, Report, Remediation Plan). May perform monitoring for selected High Risk Business Areas (.e.g Business Meals with HCPs).


  • Training: Closely review all E&C training records and ensure all trainings are completed on a timely basis. Follow-up with all employees and send reminders where necessary.


  • Documentation: Ensure all relavant departmental/functional files and documents are tracked and archived formally.


  • Onboarding new joiners: Actively support all new joiners by navigating them through  their Values Journey and ensure mandatory trainings are completed on a timely basis.


  • Transparency Reporting /Disclosure:  Support annual transparency reporting process and ensure the accuracy & completeness of data reported to MoH.


  • Systems/Applications: Support maintenance of systems by updating local approval/matrix and relavant areas (e.g. Medispend, LORI limits)


  • Speak-Up: Contribute to the creation of an environment where colleagues feel comfortable speaking –up and leaders engage in active listening.


  • Value Ambassadors: Engage with Value Ambassador network and support the development of a yearly activity plan.


  • Annual COI declaration: Collaborate with HR  and support the annual certification process for all employees.



Role Mandatory Responsibilities:


  • Excels ethical behaviour: Act with integrity and as a role model for Takeda's values, ethics and values-based decision making (Takeda-ism) at all times.


  • Training & Compliance: Timely completion of all mandatory global trainings and compliance with Takeda policies & procedures


  • Speak-up for Integrity: Raising concerns in a good faith to Ethics Line, first line manager and/or E&C Team.



Role required Qualifications & Capabilities


Qualifications


  • BSc/BA in law, finance, business administration or related field.


  • Having strong written and speaking english skills


  • 4-5 or more years of professional experience in a corporate setting, specifically in the Healthcare industry.


  • Expertise in internal control and regulatory frameworks, preferably with knowledge of corporate governance (e.g., SOX).


  • In-depth business & organizational insight, preferably in a global pharmaceutical organization.


  • Familiarity with key laws, regulations and industry standards including but not limited to: Bribery and Corruption, Privacy, Sanctions, Anti-trust, Promotional compliance, Human Rights, Third-Party Risk Management) Experience in partnering with senior partners/leaders.


  • Acts as role model for Takeda’s values, ethics and values-baseddecision making.


  • High interpersonal, presentation and communication skills including ability to challenge and provide advice/ guidance to business.


  • Ability to work across a diverse, multi-cultural environment.


  • Leading and influencing  on cross-functional projects.


  • Solution oriented strategic partner with a hands-on mind set.


  • Ability to build strong relationships with key stakeholders.


  • Capable of managing and prioritizing multiple tasks and objectives within strict deadlines.
