Job Description
  • Lead a team of office staff, offering daily guidance and supervision to ensure effective performance.
  • Conduct regular meetings to review ongoing tasks, resolve issues, and ensure clarity on expectations and goals.
  • Assign tasks based on priority, ensuring balanced workloads and timely completion of deadlines.
  • Adjust task distribution as business needs shift, maintaining flexibility and responsiveness.
  • Serve as the main contact for department support, ensuring requests are efficiently handled.
  • Oversee scheduling, correspondence, and reporting to maintain smooth daily operations.
  • Ensure accurate record management in compliance with data protection and company standards.
  • Utilize computerized systems for efficient information storage and retrieval, training staff as needed.
  • Attend meetings to report on performance, suggest process improvements, and communicate updates to the team.
  • Assist in planning resources and managing staffing levels to meet daily demands.
  • Coordinate recruitment, onboarding, and training of new team members, ensuring smooth integration.
  • Lead induction and training to ensure staff proficiency in systems and processes.
  • Coach team members to enhance skills, fostering a culture of continuous improvement.
  • Implement performance tracking to monitor output and ensure quality standards are met.
  • Conduct performance reviews, offering feedback and addressing areas for improvement.
  • Identify workflow inefficiencies and implement productivity improvements.
  • Encourage staff to suggest improvements for optimizing operations.
  • Assist in organizing corporate events, ensuring logistics are professionally handled.
  • Manage visitor relations, ensuring a professional experience for guests and clients.
  • Support office facilities management, coordinating with teams for maintenance.
  • Ensure health and safety protocols are followed and address risks promptly.

Qualifications
  • Bachelor's degree.
  • Minimum of 5 years of experience in relevant field.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Excellent communication and interpersonal skills, with the ability to lead a team and work effectively with other departments.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and other software.
