Job Purpose / Objective
Responsible for all store operations activities including shipping and receiving, deliveries, coordinating stock, documenting warehouse transactions, maintaining records.
Key Responsibilities / Accountabilities
- Support the Logistics Supervisor in day to day administrative and operations tasks.
- Ensure all operational policy and procedure is in place, adherence to all Store Members and documentation of control procedures is enforced and present as a daily Management system.
- Check the delivery of items from the supplier directly delivered to project store with approved Purchase Order, approved specifications, agreed discount/bonus/FOC, quantity, price and quality and expiry date.
- Distribute the Material Request to Assistant Store keeper to issue the items to End-user.
- Review the stock levels on regular basis and take appropriate action in Coordination with Supervisor.
- Keep all stock expiries/damaged items in demarcated area labelled Expiry/Damaged Area.
- Ensure on-time expiry return to supplier with proper approval.
- Maintain buffer stocks, min-max levels.
- Ensure 100% barcoding is done prior to move it to inventory storage area.
- Issue items to the end-user as per the Material Request, tally with the system and loading to the right location under right temperature.
- Manage proper inventory storage as per system locator.
- Temperature control and other standards in warehousing and distribution are in place and monitor as per JCIA/CBAHI/SFDA/MOH requirement.
- Implement FIFO and ensure product expiry is tracked and reported on regular Basis.
- Clean and hygiene standards are in place and respected by all teams as part of their Daily practices.
- Ensure on-time arrangement of truck with project transportation for deliveries from Main store or project to project transfers.
- Asset management implementation and maintain store standard.
- Update Daily records in the system.
- Ensure on-time submission of documentation to Finance for payment process.
- Prepare and complete all transactions prior to annual inventory in coordination with Store supervisor
- Monitor all slow and non-moving items and coordinate with Store supervisor to forward the information to Secondary Logistic Manager on monthly basis.
- Perform Cycle Count on daily basis.
- Prepare Zero stock items on daily basis.
- Monitor cleanness and hygiene of the store on daily basis.
- Adhere to HMG Policies and procedure.
- Ensure to support team members for JCI/CBAHI deployment and adherence.
- Maintain good relationship and act well with all concerned departments, colleagues and end users to ensure the team work and timely support on place.
- Create a good atmosphere to the supplier during delivery. Ensure to deploy safety in HMG workplace (including sub-contractor).
- Maintain physical stocks as per book value.
- Establish controls on damages, lost and expiry items until reach to end user.
- Ensure suppliers are received on-time and maintain proper turn-around time and on time receiving of items from the supplier.
- Ensure on-time loading of trucks as per delivery schedule.
- Orient, train and support storekeepers.
- Participate in person-centered care initiatives undertaken by HMG.
- Enrich patient experience with compassion, respect and dignity.
- Perform other applicable task and duties assigned within the realm of his/ her knowledge, skills and abilities.
Education/ Professional Qualification
1. Higher Secondary School Certificate; preferably Diploma.
Experience
1. At least four (4) years’ warehouse experience; preferably with reputable healthcare setting or FMCG company.
