Job Description/Policies & Procedures related activities:
a. Assists Organization & Development Division team in writing Job descriptions, policies & procedures, and variety of technical and status reports pertaining to human resource management programs and activities.
b. Provides assistance, support and guidance to departments in the preparation of draft job descriptions by explaining the contents of the job description in an appropriate language.
2. Performance Management and Manpower Planning activities:
a. Provides clear, accurate and up to date information and schedules regarding divisions’ objectives to enable the team and Director, Organization & Development to deliver effectively & timely.
b. Assists Organization & Development team to analyze manpower requirements, maintains and updates manpower statistics on a Company-wide basis and prepares reports on findings and trends to be presented to the Director, Organization & Development for taking appropriate actions.
c. Prepares materials for Organization & Development meetings, take minutes as required and contributes to the organizational development plan under the clear instructions and guidelines of Director, Organization & Planning.
d. Undertakes research using the appropriate methods and/or techniques, compiles and analyzes data for special projects and prepares Word, Excel and PowerPoint documents as requested. Gathers and analyzes information skillfully, follows instructions and responds to management direction and solicits feedback to improve performance.
e. Proofreads documents including Manuals, Policies, memos, presentations, spreadsheets, agendas and other information for any errors and tracks progress, deadlines, and priorities of all projects.
f. Reviews accomplishment of the set goals in coordination with the Director, Organization & Development to ensure tasks and milestones are being achieved in a timely manner and prepares status reports, presentations, agendas etc. as requested by COP.
g. Prepares regular management reports on organization development initiatives, policies and program implementation to be submitted to Director, Organization & Development for his review
3. HRMS Database:
Assists O&P team to update ORACLE-HRMS, which includes updating organizations information and maintaining computerized records of all Company’s job descriptions and related data on company’s HRMS database.
4. Statistical analysis related activities:
a. Gathers various Human Resources data and generates statistical reports, analyzes, evaluates and interprets the statistical data in order to identify significant differences in relationships among the source of information by creating dynamic charts in the best possible manner for easy visualization and evaluations.
b. Adapts statistical methods for collecting, scrutinizing, interpreting, processing and presenting the numerical and graphical information of data.
c. Designs and prepares comprehensive statistical reports according to presentation requirements.
d. Evaluate goals, dashboards/KPIs, sources of information and statistical methods in order to determine any limitation in terms of reliability or usability and to ensure their validity, applicability, efficiency, and accuracy.
e. Reviews, analyzes, and compares employee related data according to established standards, and procedures in order to ensure maximum efficiency of HR functions, compliance with approved manpower levels and to assess various findings like calculating retention, turnover rates, manpower streamlining, etc.
f. Processes large amount of data generated from various sources to identify trends, statistical modelling and graphic analysis by using computers and related software.
5. Annual Budget/Cost related duties:
a. Collects all data related to HR Departmental annual budget.
b. Verifies budgetary line items for compliance with budget guidelines.
c. Compiles and analyzes budget & actual financial statistical report and performs regular evaluations of actual vs budget performance among the various components.
6. Objectives and Targets related jobs:
a. Coordinates with concerned HR department personnel for submitting their KPIs on timely manner.
b. Collects and submits objectives to HRM for his review and approval.
c. Prepares comprehensive summary report of objectives to evaluate the achievements and schedules/coordinates objectives review meetings.
7. Coordination:
a. Coordinates with individuals at all levels of the organization on a variety of issues related to Job descriptions, manuals, policies and procedures related to HR department and organizational development deliverables.
b. Coordinates with IT for any queries and efficient disposal of transactions of ORACLE HR modules.
c. Coordinates with talent management Division for provision of appropriate details related to jobs that are being recruited for.
8. Miscellaneous Duties:
Performs other miscellaneous duties as directed by Director, Organization & Development, such as, but not limited to:
a. Supports the Organization & Development team and ensures that all resources are managed effectively, imaginatively and efficiently so that objectives accomplishment levels can be maintained and improved.
