Role Purpose:
Responsible for the Leasing and Property Management for J|ONE project.
Key Activities:
- Engage in pre-leasing activities such as show apartments view coordination; maintaining registrations; prospects and waiting list.
- Manage all the required processes pertaining to leasing; ensuring new leasing is up to date with minimizing vacant units with tendency for zero vacant & upfront payments.
- Responsible in managing the posting of vacancy and ensure units on notice has to be leased within 8 weeks whilst on notice, with no longer deviation then 15 days between the expiry and new lease dates; Ensuring the vacancy list is send regularly on weekly bases to corporates entities and applicable brokers;
- Ensuring renewals are timely completed with tendency that apartments which are on notice to be leased prior becoming vacant.
- Ensure all the required processes pertaining to leasing and its financials are up to date; Ensuring no rent / or rent related outstanding are there and follow if any;
- Ensuring tenants relationships are well maintained and tenant’s requests and complaints, either through emails, phones or other means, are answered timely.
- Prepare and maintain complaint/ requests statistics and recommend solutions to line manager; ensure portal is up to date with responses.
- Day to day management of the community and Customer Service and communication.
- Providing feedback on the policies & processes in order to ensure it is functioning & any needed revision every time when necessary.
- Daily follow up on outstanding’s (if any) and ensuring payment no longer than 7 days.
- Regular follow up on outstanding with corporates and bounced cheques by ensuring payment will be no longer than agreed timeline; Escalation to Legal Department.
- Day to day monitoring of the Service Providers in correlation to their contractual obligations and comply with all (EHS) Environmental; Health and Safety standard.
- Conduct root cause analysis of customer complaints & reduce similar complaints by 10%, to ensure all residents requests are attended timely with immediate response and no longer than 24 h for follow up responses.
- Move in/out: Ensure residents adhere to Move in/out processes, and refunds are timely completed.
- Following all the processes and policies with no deviation from it, and escalating for any problematic areas and ensuring immediate implementation on any updated or new policy / process.
- Preparing / Monthly, quarterly & Annual Reports, & quarterly newsletters; and any Ad Hock reports required from Senior Management.
- Ensuring implementation and adhering to the department policy and procedure.
- Processing Store room/ Parking/ Drivers Quarter and other required leases and Utility payments coordination
