Purpose:
Maintaining and oversee the project relatedtasks of SEC,assist project managers in planning and coordinating project activities. Maintain and update project schedules, timelines, and documentation. Monitor project progress and report on any delays or issues.
Responsibilities:
Supports the development of Project Management processes and procedures for Facilities Services.
Works with the Facilities team as a Project Management expert on an ongoing basis to refine and improve project management processes in the department.
Develop risk assessment for projects determining strategies in liaison with others to ensure least disruption from the project while ensuring risks are within the risk tolerance.
Develops project scope, leads project teams and accomplishes project steps within set time frames while managing the work of consultants and utilizing strategies to prevent project creep.
Monitors and evaluates activities on assigned projects by tracking progress, managing project documentation (including plans, specifications, RFIs, schedules, submittals, budgets, reviewing change orders, progress payment requests), preparing status reports and project close out reports
Provides leadership to supervisors and staff by creating a common vision for the department through an open and facilitative approach.
Assume other related duties as assigned by the Director, Facilities Services or the Facilities Project Management Office.
Oversee and regulate project documentation with precision.
Receives and registers Client provided documents including in-house generated SEC document and incoming outside corresponding.
Controls issuance of SEC document numbers, including maintenance of proper SEC document registers.
Ensures proper SEC document classification, sorting, filing and proper archiving.
Reviews completeness of documentation and prepares SEC document transmittals.
Performs SEC document quality check regularly.
Uphold a well-structured shared drive for seamless access.
Receiving, circulating and recording all incoming and outgoing letters, emails and hand deliveries.
Ensures sequential numbering system in everyincoming and outgoing correspondence.
Ensures all correspondences reach proper department and facilitate the submission of documents to appropriate stakeholders.
Maintains and updates SEC Document Control Electronic information system as needed.
Execute tasks such as copying, scanning, archiving, and retrieving documents.
Prepare,distribute and follow up corrective actions for management reports.
Foster professional communication at all levels.
Guarantee the accuracy and confidentiality of records.
Meticulously proofread all documents.
Exhibit exceptional proficiency in Microsoft Office applications.
Promote environmental sustainability initiatives.
Complete all assigned training within designated timelines.
Engage actively in safety inspections to uphold standards.

Requirements:
Relevant degree qualification.
Minimum 10 years of administrative experience.
Experience in project administration (engineering industry preferred).
Strong organizational, communication, and problem-solving skills.
Attention to detail and teamwork ability.
Knowledge of engineering project processes is a plus.
Fluency in English and Arabic.
Proficiency in Microsoft Office.
Proficient typing and editing skills
Data organization skills.
