Job Summary:
The Procurement Specialist in our organization is responsible for sourcing, negotiating, and procuring food, beverages, and related supplies necessary for the operation of the business. This role requires an in-depth understanding of the F&B industry, supplier management, and effective cost management to ensure high-quality products are procured at competitive prices.
Key Responsibilities:
- Research and identify potential suppliers for various food and beverage categories, including fresh produce, packaged goods, beverages, and non-food items like packaging materials and cleaning supplies.
- Evaluate suppliers based on their product quality, reliability, delivery timelines, and cost-effectiveness. Conduct site visits and audits to assess their facilities and processes.
- Build and maintain strong relationships with key suppliers to ensure a stable supply chain and foster long-term partnerships.
- Develop and maintain a list of alternative suppliers to mitigate risks associated with supply disruptions.
- Negotiate favorable terms and conditions with suppliers, including pricing, payment terms, delivery schedules, and penalties for non-compliance.
- Draft, review, and manage contracts with suppliers, ensuring all terms and conditions are clearly defined
- Monitor supplier performance against contract terms, addressing any issues such as delays, quality problems, or non-compliance.
- Regularly monitor inventory levels to ensure optimal stock levels, avoiding both shortages and overstock situations.
- Place orders with suppliers based on inventory needs and production schedules. Ensure timely delivery to avoid production delays.
- Conduct periodic inventory audits to verify stock levels and identify discrepancies. Implement corrective actions as necessary.
- Develop and manage the procurement budget, ensuring alignment with the company's financial goals and objectives.
- Analyze procurement costs and identify opportunities for cost savings. Implement cost reduction strategies while maintaining product quality.
- Ensure all procured products meet the company's quality standards and specifications. Work with the quality assurance team to develop and enforce quality control procedures.
- Coordinate product inspections and testing to verify compliance with quality standards. Address any quality issues with suppliers promptly.
- Conduct regular audits of suppliers' facilities and processes to ensure adherence to quality standards.
- Ensure procurement activities comply with all regulations, and industry standards, including food safety and environmental regulations.
