Job Description
We are seeking a proactive and detail-oriented Planning & Reporting Specialist with 3 to 5 years of experience in a Project Management Consultancy (PMC) environment, preferably with an engineering background. The successful candidate will support project planning, scheduling, and reporting functions, ensuring that project milestones are met, resources are effectively managed, and stakeholders are kept informed of progress. This role requires strong analytical skills, proficiency in planning software, and the ability to work collaboratively with multi-disciplinary teams.
Responsibilities:
- Assist in developing and maintaining detailed project schedules using tools such as Primavera P6, MS Project, or other project management software.
- Work closely with project teams to collect input and define project milestones, deliverables, and timelines.
- Monitor project progress against baseline schedules, identifying delays and advising on corrective actions.
- Help in preparing detailed plans for project phases including design, procurement, and construction activities.
- Track project progress and performance based on defined key performance indicators (KPIs) and milestones.
- Prepare regular project status reports, progress summaries, and dashboards for internal teams, clients, and other stakeholders.
- Analyze deviations from project plans and schedules, providing recommendations for recovery and realignment.
- Support the development of reporting systems and formats to ensure clear and timely communication of project status.
- Assist in coordinating the allocation of resources (personnel, equipment, materials) to ensure the project is progressing according to the plan.
- Support project managers in monitoring resource usage and optimizing efficiency across multiple project activities.
- Track changes in resource requirements and update project schedules accordingly.
- Assist in identifying risks to project schedules and developing mitigation strategies to minimize potential delays.
- Participate in risk analysis meetings and assist in scenario planning to address potential challenges.
- Support the project management team in documenting and managing changes to project scope, timelines, and budgets.
- Update and revise project schedules and plans as needed to reflect changes, ensuring all stakeholders are informed.
- Maintain accurate and up-to-date records of project progress, changes, and reports.
- Assist in preparing project presentations and progress reports for clients, contractors, and other external stakeholders.
- Support project team meetings and client briefings, ensuring timely and accurate communication of project information.Ensure that project planning and reporting activities adhere to contract requirements, industry standards, and best practices.
- Assist in audits and reviews of project planning and reporting systems to ensure they meet organizational standards and objectives.
- Identify areas for improvement in the planning and reporting process, recommending solutions to enhance efficiency and accuracy.
- Participate in lessons-learned sessions post-project completion to contribute to process enhancements.
Requirements:
- Bachelor’s degree in engineering, Construction Management, or a related field.
- 3 to 5 years of experience in project planning and reporting, with at least some experience in the Project Management Consultancy (PMC) sector.
- Proficiency in project management and scheduling software such as Primavera P6, Microsoft Project, or equivalent tools.
- Basic knowledge of project management principles and methodologies, including scheduling, resource allocation, and risk management.
- Strong analytical and problem-solving skills, with attention to detail in tracking and reporting project progress.
- Ability to manage multiple priorities and work within tight deadlines.
- Strong communication skills, with the ability to present data and information clearly to stakeholders.
- Familiarity with engineering and construction project phases and deliverables is highly desirable.
- Ability to collaborate and work effectively within multi-disciplinary project teams.
- Knowledge of industry standards, best practices, and regulatory requirements in project management.
