This is an exciting opportunity for a Payroll & Systems Manager with a strong focus on payroll and systems.


We are seeking a motivated and organised Payroll & Systems Manager to oversee and manage payroll operations, HR systems, and government payments for our Saudi Arabian operations. The successful candidate will assist with the timely and accurate administration of payroll, benefits, and HR records for Tahaluf, while ensuring compliance with relevant laws and company policies. This role requires a strong attention to detail, excellent organisational skills, and the ability to manage sensitive employee information with confidentiality.


Responsibilities:


Payroll Management


  • Process and manage all aspects of payroll for Tahaluf, ensuring timely and accurate payment of salaries, bonuses, and allowances
  • Maintain payroll records, including new hire, termination, and employee status changes, to ensure accurate and up-to-date payroll data
  • Calculate and apply deductions (e.g., unpaid leave, maternity leave, pension contributions) as per relevant laws and company policies
  • Be the first point of contact and assisting employees with payroll-related queries, ensuring clear and timely communication
  • Ensure compliance with tax regulations, Saudi labour laws, and reporting requirements
  • Oversee the timely and accurate submission of government-related payments and filings, including GOSI (General Organization for Social Insurance)
  • Stay up to date with changes in local payroll regulations and government requirements to ensure full compliance.
  • Manage the preparation and filing of necessary government reports, responding to government audits and queries when needed.

HR Systems & Admin


  • Input data in SAP HR and other databases to assist in record maintenance
  • Assist with the offboarding process, including calculating the final settlements and terminating the necessary records
  • Assist in preparing documents for employee benefits such as health insurance and end-of-service gratuity
  • Manage the administration of employee leave, including annual, sick, and other leaves such as maternity and paternity
  • Administer and maintain HR software and payroll systems, ensuring data accuracy, security, and system updates.
  • Ensure integration between HR systems (HRIS) and payroll systems for seamless processing of employee data and payroll activities.
  • Oversee system upgrades, troubleshoot issues, and work with IT or third-party vendors to ensure system efficiency and compliance.
  • Train payroll and HR teams on the use of HR software and ensure correct data entry, especially in relation to payroll and compensation.
  • Support the HR team with any ad hoc projects/tasks as required

Reporting


  • Compiling and tracking information for reporting purposes such as annual flight allowances, salary advances, visa reports, etc.
  • Assist in generating HR reports for internal and external purposes
  • Run ad hoc reports for key stakeholders across the business as needed

Qualifications

Required Experience & Skills:


  • Experience within a HR administration role and environment
  • Speaks and writes clearly and fluently in English to both individuals and groups
  • Understanding of local labor laws and regulations, including tax obligations and end-of-service gratuity calculations
  • Strong attention to detail
  • Ability to prioritise work tasks and meet deadlines
  • Proficient in the use of Microsoft Word and Excel
  • Strong team-player
  • Ability to handle highly sensitive and confidential information
  • Excellent communication and interpersonal skills
  • Flexible and adaptable
  • Cultural awareness and sensitivity
