ROLE OVERVIEW


The Onboarding Specialist is responsible for enhancing the new hire onboarding process, driving engagement and productivity through streamlined procedures, positive candidate experiences, and effective collaboration with StaffCo's clients and recruitment agencies worldwide. The role requires excellent communication and organizational skills to ensure compliance and smooth onboarding operations. The Onboarding Specialist will report to the Head of Operations and will manage relationships with candidates, clients, and internal teams.


REQUIREMENTS SUMMARY


  • Proven experience in onboarding, HR administration, or related roles, preferably within the staffing or recruitment industry.
  • Strong understanding of onboarding best practices, compliance requirements, and HR policies and procedures.
  • Excellent communication and interpersonal skills, with the ability to build rapport with diverse candidates and stakeholders.
  • Detail-oriented with strong organizational and time management abilities.
  • Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities.
  • Commitment to professionalism, integrity, and confidentiality.

ROLE COMPETENCIES & ACTIVITIES


Candidate Engagement


  • Build strong relationships with candidates and international recruitment agencies by providing clear communication, guidance, and support throughout the onboarding process, aligned with StaffCo’s approved SLAs.
  • Act as the main point of contact for candidates, ensuring they feel supported and engaged.

Customer Orientation


  • Build and maintain positive relationships with customers and clients.
  • Uphold the highest level of client relationship skills to support StaffCo's goals.

Documentation and Compliance


  • Collect, review, and verify all necessary documentation and credentials to ensure compliance with company policies and regulatory requirements.
  • Ensure that all onboarding documentation is completed accurately and on time.

Orientation and Training


  • Coordinate and facilitate orientation sessions to familiarize candidates with company policies, procedures, and culture.
  • Collaborate with internal stakeholders to arrange necessary training programs for new hires.

Process Management


  • Utilize onboarding software and tools to streamline and automate processes, ensuring efficiency and accuracy at every stage of onboarding.
  • Continuously seek ways to optimize the onboarding process.

Problem Resolution


  • Address any issues or concerns raised by candidates during the onboarding process promptly and effectively, ensuring a positive experience for all stakeholders.

Feedback and Improvement


  • Solicit feedback from candidates regarding their onboarding experience and identify areas for improvement.
  • Work collaboratively with internal teams to implement enhancements to the onboarding process.

Relationship Management


  • Serve as the primary point of contact for candidates, hiring managers, and internal stakeholders, fostering strong relationships and promoting open communication.

  • Ability to manage multiple candidates simultaneously while ensuring a high-quality experience.
  • Detail-oriented with strong organizational and time management skills.
  • Ability to work in a fast-paced, dynamic environment and adapt to changing demands.
  • Commitment to upholding professionalism, integrity, and confidentiality.

Qualifications


  • Bachelor’s degree in Human Resources, Business Administration, or the relevant minimum years of experience otherwise.
