Job Summary:



Under the direction of team leader, is responsible to handle organizational and clerical support tasks. This may include organizing files, scheduling appointments, writing copy, receiving guests and more, depending on the requirements.

RESPONSIBILITIES/ACCOUNTABILTY & AUTHORITY:



Responsible for handling administrative requests and queries from senior managers. Responsible to maintaining administration office notice board and circulating any official communication. Managing incoming and outgoing correspondence, including emails, faxes, mail, and packages. Submitting work orders and scheduling repairs for general office space and equipment and escorting vendors. Monitor office expenditures and handle all office contracts (rent, service etc.) On receipt of appropriate request, coordinate for transport, airport pick, flight/ hotel reservation, etc. Responsible to collect & report data into ERP system. Daily office activities include reporting, filing, reconciling, scanning, printing, data entry and processing paperwork. Organize and schedule appointments. Plan meetings and take detailed minutes. Maintain physical and digital employee records e.g., timecards etc. Available and flexible to work overtime as needed to support the team and the business needs. Requisition and maintain office inventory or supply necessary to meet manufacturing demands. Follow all safety, health, and environmental requirements where applicable. Involve in internal audits per API Q1 and ISO 9001. Other duties as needed or assigned.

SKILLS & EXPERIENCE REQUIRED:



Key



High school diploma or equivalent. Minimum 2 years of experience in documents or records management. Knowledge working with ERP systems. Good office relationship. Ability to work under pressure, both independently and in teams. Working experience and Knowledge of Quality Management system – ISO:9001 Computer skills to work on Microsoft Word, Excel, Power point and other functions. Should be able to communicate in English (Speak, Read, and Write).
