Job Description

Position Overview

The Logistics Supervisor in an industrial catering setting is responsible for managing the flow of goods, inventory, and resources to support kitchen operations and event services. This role ensures the proper sourcing, storage, and distribution of food supplies, equipment, and consumables while maintaining efficiency and cost control. The Logistics Supervisor will oversee inventory management, transportation, supplier coordination, and compliance with health and safety regulations.

Key Responsibilities

1. Inventory Management

  • Supervise the receiving, storage, and distribution of food, equipment, and supplies.
  • Maintain accurate inventory records, ensuring proper stock rotation (FIFO) and minimizing waste.
  • Monitor stock levels of key ingredients, supplies, and equipment, placing orders as needed.
  • Ensure storage areas (dry, cold, and refrigerated) are clean, organized, and compliant with safety standards.
  • Conduct regular stock audits and inventory checks, reporting discrepancies.

2. Supplier & Vendor Coordination

  • Coordinate with suppliers to ensure timely delivery of food products, kitchen supplies, and equipment.
  • Manage communication with vendors regarding order status, delivery times, and issue resolution.
  • Negotiate pricing and delivery terms with suppliers to optimize costs.
  • Verify that received goods match purchase orders in quality and quantity.

3. Transportation & Delivery Management

  • Supervise the logistics team handling the transportation and delivery of supplies.
  • Plan and organize delivery schedules to ensure timely and accurate deliveries.
  • Ensure transportation vehicles are clean, well-maintained, and operational.
  • Oversee safe loading and unloading of supplies to prevent damage.

4. Operational Efficiency & Process Improvement

  • Develop and implement processes to optimize logistics efficiency and reduce costs.
  • Analyze operations and identify improvements, such as reducing delivery times and minimizing waste.
  • Ensure adherence to established procedures for receiving, storing, and dispatching goods.
  • Monitor logistics performance data, proposing improvements as needed.

5. Health & Safety Compliance

  • Enforce health and safety regulations in handling, storage, and transportation.
  • Oversee proper waste disposal in accordance with environmental and food safety standards.
  • Ensure the logistics team follows safe lifting techniques and food handling procedures.
  • Maintain compliance with all relevant safety protocols.

6. Team Management

  • Supervise and train the logistics team, assigning tasks and ensuring efficiency.
  • Schedule shifts to ensure adequate team coverage, especially during peak operations.
  • Monitor team performance, providing coaching and corrective action when needed.
  • Ensure staff are properly equipped and adhere to safety guidelines.

7. Communication & Collaboration

  • Communicate with kitchen and catering teams to understand inventory needs and delivery schedules.
  • Work with procurement and kitchen teams to forecast supply needs.
  • Liaise with other departments to address logistical needs efficiently.
  • Report on logistics operations, inventory levels, and process improvements.

8. Record Keeping & Documentation

  • Maintain accurate records of inventory transactions, deliveries, and stock adjustments.
  • Track and report key logistics KPIs, such as delivery times and inventory turnover.
  • Ensure all shipping and receiving documentation is completed correctly.
  • Prepare logistics performance reports for senior management review.
