Job Description
Job Objective
Contribute to achieving the objectives of the company by
reviewing shipment materials before distribution, collaborating with
transportation systems to ensure prompt shipment pick-ups and monitoring
shipment costs and productivity processes.
Key Responsibilities
Process orders from Sales Executives placed through a
mobile application- Confirm deliveries for the previous day in SAP. Send
notification about deliveries’ confirmation to the concerned participants
(group in Telegram);
- Receive the orders in SAP placed through SAP/CRM Application
by Sales Executives
- Process applications in SAP and create invoices/order forms:
- Check the price compliance in SAP with the price specified
in the current price list (special price, IM price, new price list etc.) for
delivery date for each SKU
- Check the data/comments entered through application by Sales
Executive (contact information of the Customer (last name, first name, contact
phone number)), time of delivery of the product to the delivery point
- Check the availability of products in the warehouse
- Complete the orders and send the documents (invoice and
order form) to the transporters /warehouse (if applicable)
- Conduct reconciliation with the concerned employees of
contractors (at the end of the working day) for the number of received orders
for delivery (transport companies) / orders for dispatch (warehouse) the next
day :
- Send a dispatch report (with complete details concerning the
product dates’, etc.) to the warehouse and receive confirmation of receipt of
all orders for dispatch the next day from the warehouse
- Send a distribution report and the routes to the
transportation companies
- Reconcile the orders/received documents/ routes with
transportation companies
Participate in the delivery of the current day (in case the
logistics is having necessary information)
- Receive information from transport companies about
deliveries during the day and provide a report (Telegram group/Watsapp group)
on the fulfillment of the orders on the day of delivery
- Receive calls from drivers / concerned managers in the
warehouse / transport companies about the issues that arise on daily basis
(when loading the trucks / at points of delivery (longer time of loading in the
warehouse, waiting at the point of delivery, lengthy paperwork, weight
mismatch, customer's refusal of products, shortage and excess of products,
etc.)
- Work with sales representatives to solve emerging problems
at points of delivery
- Inform the management by means of SMS/Telegram
group/WhatsApp about the total or partial refusal of the products by the
counterparty, specifying the reason for the refusal/ incomplete orders/full and
partial returns of products
- Enter the data into the report about incomplete orders, full
and partial returns of products
- Send report (Daily Delivery Report) to the Telegram/WatsApp
group with the information about the deliveries on the previous and current
days in a previously confirmed format every morning
Process the primary documentation- Receive scans of signed shipping documents (invoice,
delivery note) from transport companies/logistics manager the next day after
the delivery of the products
- Receive the originals of the invoices on weekly basis from
the logistics manager
- Verify the availability of the stamp and signature as well
as the accuracy of the name of the customer on the stamp with the name on the
original invoices
- Enter data into the report with invoices’ availability
- Upload documents to SAP by attaching them to the appropriate
order
Administrative Work- Informing the management of their activities in due time;
- Reporting to the management in accordance with the company
policy;
- Executing other tasks received from the management;
- Following all agreed standards, regulations and rules
established in the company;
- Dealing with the inquiries and requests of MHP Saudi Arabia
Trading Company, employees and consumers;
- Preparation and participation in the reporting meetings.
Qualifications and experience
- Diploma or higher / Excel / SAP
- Preferable 1 year or less of practical experience in a
similar position
