Job Description

Job Purpose / Objectiveb


Perform and coordinate the Medical licensing processes for specified project and responsible to communicate with respective department internally and externally for processing of staff licenses according to the standards.


Key Responsibilities / Accountabilities


  • Perform all jobs related to licensing requirement and ensure that daily assignment is performed professionally and in timely manners according to the standards.
  • Collect, prepare and complete all necessary requirements for obtaining temporary MOH license and hand over to the expediter for processing, upon receiving the Residence Permit of the new employee.
  • Facilitate process of issuing temporary license to the employee while waiting for the result of the examination.
  • Achieve processing of new and renewal of staff’s Licenses within the given timeframe.
  • Escalate necessary and important matters to Assistant Manager Licenses to get his advice.
  • Ensure completeness of all original certificates and documents prior to submission to relevant offices for processing.
  • Prepare applications and supporting documents as specified by the Saudi Council using requirements checklists and HMG licensing system.
  • Coordinate and arrange Prometric Examination in timely manner and ensure that the concerns are informed well ahead of time.
  • Monitor validity of all licenses, Saudi Council Registration Cards and submission for renewal prior to expiration and report periodically to Licenses Assistant Manager.
  • Coordinate and follow up with Expeditor, Saudi council/MOH and Dataflow for related matters.
  • Follows up with recruitment and Physician Affairs office to receive updated documents, reference, work experience, education etc. to update the system with required documents.
  • Safeguard all original certificates/documents to ensure that confidentiality is maintained in all transactions.
  • Maintain record and log of all communications and processing activities for medical licensing processing.    
  • Provide copies of all the certificates to HR and update database.
  • Generate reports to monitor the status of active and in-process licenses on weekly and monthly basis and submit to Assistant Manager Licenses for his/her review.
  • Prepare petty cash for payment of the Saudi Council or Prometric Testing fees and arrange individual employee file to obtain Saudi Council Registration Card and process payment and deduction required from employee.
  • Arrange and organize individual MOH files to obtain license and submit to Ministry of Health on time and ensure the proper handling of all important documents, passports and Iqamas of employees.
  • Participate in person-centered care initiatives undertaken by HMG.
  • Enrich patient experience with compassion, respect and dignity.
  • Perform other applicable task and duties assigned within the realm of his/her knowledge, skills and abilities.

Education/ Professional Qualification


  • College graduate or Diploma holder.

Experience


  • (1) year of relevant experience.  

Professional Licensing / Certification / Training


  • Relevant certification.
