Job Description

Job Summary

We are seeking a proactive and detail-oriented Facilities Specialist to oversee the daily operations and maintenance of our facilities. The ideal candidate will be responsible for ensuring a safe, clean, and functional work environment by managing maintenance schedules, coordinating repairs, and overseeing vendor relationships. This role includes optimizing space utilization, implementing safety protocols, monitoring compliance with regulations, and supporting organizational goals through efficient facility management. If you excel in problem-solving, multitasking, and delivering exceptional support, we welcome your expertise to help us maintain and improve our facilities.

 

Key Responsibilities:

  • Follow up on overall maintenance activities with facility teams, including HVAC, electrical, plumbing, and security systems, and ensure the closure of fault reports
  • Coordinate with maintenance teams and external vendors to ensure timely completion of repairs and services
  • Maintain facility inventory and supplies, ensuring timely restocking as needed
  • Arrange regular maintenance for equipment and internal systems, such as heating systems, alarms, and security cameras
  • Ensure adherence to health and safety regulations
  • Conduct market research and evaluate the costs and benefits of potential new vendors
  • Respond to urgent maintenance calls 24/7
  • Provide regular reports to the Line Manager
  • repare a weekly facilities report using the system
  • Continuously coordinate with contractors and other service providers to ensure smooth operations
  • Prepare and process supplier invoices, ensuring accuracy and timely payment submission
  • Negotiate contracts and monitor the performance of service providers to ensure quality and compliance

 

Education

Bachelor's degree in Facilities Management, Business Administration, or a related field (preferred)
