Job Description
The Executive Secretary plays a pivotal role in ensuring the smooth operation of the executive office within the FMCG sector. This position requires a highly organized and detail-oriented individual who can manage various administrative tasks while supporting senior management. The ideal candidate will possess exceptional communication skills and the ability to handle confidential information with discretion. The Executive Secretary will be responsible for facilitating communication between departments, managing schedules, and ensuring that all office operations run efficiently.
Responsibilities:
- Manage and maintain the executive's calendar, including scheduling meetings and appointments.
- Prepare and edit correspondence, reports, and presentations as required.
- Act as the primary point of contact for internal and external stakeholders.
- Coordinate travel arrangements and itineraries for the executive team.
- Organize and maintain files and records, ensuring easy access to important documents.
- Assist in the preparation of budgets and financial reports.
- Conduct research and compile information for meetings and presentations.
- Handle confidential information with the utmost professionalism and integrity.
- Support the execution of special projects and initiatives as assigned.
- Facilitate communication between departments to ensure alignment and efficiency.
Preferred Candidate:
- Bachelor's degree in a relevant field.
- Fluent in English, with strong verbal and written communication abilities.
- Strong organizational and multitasking skills.
- Strong interpersonal skills and a professional demeanor.
- Experience as a secretary or administrative assistant is highly desirable.
