The Executive Assistant to the CEO will be responsible for managing the CEO's calendar, scheduling meetings, handling sensitive information, and ensuring smooth operations within the executive office. The ideal candidate will be adept at working under pressure, greeting and welcoming guests, assisting internal stakeholders, and preparing documents and presentations. Strong written communication skills in Arabic and English are essential for crafting professional emails.
Responsibilities
- Calendar Management: Efficiently manage the CEO’s calendar, schedule meetings, and coordinate appointments to optimize time and prioritize commitments.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and integrity.
- Operational Efficiency: Ensure smooth day-to-day operations within the executive office, anticipating needs and addressing issues proactively.
- Pressure Handling: Thrive in a dynamic, fast-paced environment, maintaining composure and effectiveness under pressure.
- Guest Relations: Greet and welcome guests, ensuring a professional and hospitable experience.
- Stakeholder Assistance: Provide support to internal stakeholders, facilitating communication and collaboration across departments.
- Document Preparation: Review, prepare, and edit documents and presentations for the CEO, ensuring accuracy and professionalism.
- Meeting Preparation: Ensure all stakeholders are prepared for meetings with the CEO, coordinating and confirming that all required materials and presentations are ready in advance.
- Flexibility: Adapt to changing workflows and schedules, demonstrating flexibility in handling various tasks and responsibilities.
- Time Management: Exhibit expertise in time management, prioritizing tasks to maximize the CEO's productivity and efficiency.
- Correspondence Management: Handle incoming calls, correspondence, write and manage professional emails on behalf of the CEO, ensuring clear, concise, and effective communication.
- Travel Coordination: Arrange travel plans for the CEO, including booking flights, accommodations, and transportation.
- Logistics Coordination: Coordinate logistics for board meetings and other high-level meetings, ensuring all details are meticulously planned and executed.
- Event Organization: Plan and organize events, dinners, and delegate trips, managing all logistical aspects to ensure successful and smooth operations.
