You will manage complex calendars, support high-level project management, and act as a liaison between executives and various internal and external stakeholders. Your organizational skills and attention to detail will be crucial in maintaining the openness and efficiency of our executive operations.
Responsibilities
- Administrative Support: Providing assistance and support to Legal Counsels in the department, including managing calendars, scheduling meetings, preparing documents, and handling correspondence.
- Record-Keeping and Document Management: Maintaining accurate and organized records of legal documents, contracts, filings, and other important materials, Involve creating and maintaining filing systems, digital databases, and document management platforms.
- Budgeting and Financial Management: Assisting with financial matters related to the department, such as monitoring budgets, processing invoices, tracking expenses, and coordinating with the finance or accounting team.
- Resource Management: Managing department resources, including office supplies, equipment, software, and subscriptions. This may involve procurement, inventory management, and coordinating with relevant vendors.
- Communication and Coordination: Facilitating effective communication within the department and with external stakeholders. This can include managing internal communications, coordinating meetings and events, and serving as a point of contact for inquiries or requests.
- Project Coordination: Supporting the coordination and administration of legal projects, including tracking project timelines, milestones, and deliverables.
- General Administrative Tasks: Handling day-to-day administrative duties, such as managing incoming and outgoing correspondence, coordinating travel arrangements, processing expense reports, and maintaining departmental calendars.
