Summary


The Event Manager will be responsible for planning, coordinating, and executing a wide range of events, from corporate meetings and conferences to product launches and promotional campaigns. This role requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.

Position description and responsibilities


Event Planning and Coordination:


  • Plan, organize, and execute a variety of events, including corporate meetings, conferences, seminars, trade shows, product launches, and promotional campaigns.
  • Develop event timelines, budgets, and project plans, and ensure that all logistical details are coordinated and executed seamlessly.
  • Coordinate with internal stakeholders, external vendors, and event partners to ensure that all event requirements are met and that the event runs smoothly.

Venue Selection and Management:


Research, evaluate, and select venues that meet the needs and objectives of each event.


Negotiate contracts, pricing, and terms with venues, hotels, catering companies, and other event vendors.


Manage relationships with venue staff and vendors to ensure that all logistical and technical requirements are addressed.


Event Marketing and Promotion:


Collaborate with marketing and communications teams to develop event marketing strategies and promotional campaigns.


Create event collateral, including invitations, posters, signage, and promotional materials, to generate excitement and drive attendance.


Leverage digital marketing channels, social media platforms, and email marketing to promote events and engage with attendees.


On-Site Event Management:


  • Oversee all aspects of event setup, including registration, signage, audiovisual equipment, catering, and décor.
  • Manage event staff, volunteers, and contractors to ensure that everyone is briefed on their roles and responsibilities.
  • Troubleshoot any issues or challenges that arise during the event and implement solutions in real-time to ensure a successful outcome.

Post-Event Evaluation and Analysis:


  • Conduct post-event evaluations to assess the success of each event and gather feedback from attendees, sponsors, and stakeholders.
  • Analyze event metrics, including attendance, engagement, satisfaction, and return on investment (ROI), and use insights to inform future event planning and strategy.
  • Prepare post-event reports and presentations summarizing key findings, lessons learned, and recommendations for improvement.

Knowledge, Skills and Experience


  • Proven track record of successfully planning and executing a variety of events, from small meetings to large-scale conferences and activations.
  • Strong project management skills, with the ability to prioritize tasks, manage deadlines, and work under pressure in a fast-paced environment.
  • Excellent communication, negotiation, and interpersonal skills, with the ability to build relationships and collaborate effectively with internal and external stakeholders.
  • Proficiency in event management software, project management tools, and Microsoft Office Suite.
  • Creative mindset with a passion for delivering memorable and impactful event experience.
  • High level of attention to detail.
  • Ability to troubleshoot to find solutions to meet client briefs and budget.
  • Client focused with the desire to deliver exceptional customer service.
  • Demonstrated previous experience working in an event planning role, on a large scale.

  • Strong skills in time management, organisation and coordination.
  • Ability to manage multiple projects, meet deadlines, and work effectively under time and resource constraints.

Qualifications


  • Bachelor's degree in Event Management, Hospitality Management, Marketing, or related field (Master's degree preferred).
  • Minimum of 10 years of experience in event planning, coordination, and management, preferably in a corporate or agency setting.
