· Support the recruitment process, including sourcing, screening, and interviewing candidates inside the Kingdom as well as overseas.
· Arrange the required amount of visas to fulfill company’s manpower requirements and ensuring the availability of new visas within 30 days of management’s demand to match the planned/budgeted overseas recruitment.
· Advising the local and overseas manpower hiring strategies to the management, as well as, manage Saudization requirements of the company to meet minimum legal compliance.
· Manage employee onboarding and orientation processes and independently manage the medical examinations, insurance and iqama processing for new joiners.
· Handle employee relations and address queries or concerns regarding company policies and procedures.
· Assist in performance management and employee development initiatives in coordination with Finance & Admin Manager.
· Manage independently HR administration, including employee record-keeping, documentation of visas/leaves/tickets, maintaining employee files for employment contracts/NDAs, etc.
· Coordinate training programs and workshops for employees, in coordination with all functional managers.
· Ensure compliance with labor laws regarding hiring, data/record keeping, employment contracts, final dues/settlements, new iqama and timely renewals thereof, exit/reentry visas and extension thereof, employee professions, new visas, EOSB, GOSI.
· Communicate and implement company HR policies, HR strategies and initiatives, and ensure a thorough compliance across the board.
· Conduct exit interviews, analyze employee turnover data and advise the management on same.
· Ensure all employee are enrolled in biometric attendance system and oversee the on-site and remote employee attendance.
· Ensure timely submission of final attendance & O.T. reports to finance department by 26th of every month in order to calculate and disburse the payroll before last date of the month. While processing the time sheets, ensure compliance of company policies on attendance, overtime calculation, sick/emergency/annual leaves, short hours etc..
· Act as single point of contact for the requirements of operations, production and sales departments regarding travel arrangements (tickets, exit/reentry visas, car rentals, hotel bookings) and arrange the same in time. Collaborate with finance department for timely processing of the payments, where required.
· Ensure renewal of service agreements with sub-contractors and external manpower companies, minimum 30 days before expiry date.
· Maintain track of the expiry dates of commercial documents and ensure the renewal of all company licenses (CR, SAGIA, chamber of commerce, industrial license, municipality and civil defense, ministry of environment), subscriptions and registrations, minimum one month in advance of expiry dates.
· Ensure compliance with the requirements of Ministry of Human Resource and Ministry of Interior, including but not limited to Nitaqat, Saudization, GOSI, WPS, renewal of iqama etc.
· Ensure maintenance (electronically, as well as, in hard copy form) of all company agreements/contract and government records with proper track of all documents, including but not limited to CRs, SAGIA license, AoA, industrial license, municipality and civil defense licenses, rent agreements, auto lease agreements, temporary work and business visas etc.
· Related to business expansion project, getting all necessary approvals from concerned ministries, SAGIA, municipality, environment, civil defense, and any other govt. department(s) within the time frame as notified by the management.
· Excellent written and verbal communication skills in English
· Superb computer literacy and exposure to related HR software. Hand on with MS Office applications.
· Ability to act with integrity, professionalism, and confidentiality.
· Ability to Work comfortably under pressure, meets tight deadlines, manage competing priorities and keep up with a high volume of activity.
· The ability to work quickly, flexibly, effectively, and positively in response to requests made at short notice.
· Good organizational skills and ability to pay attention to detail.
