The Archive Administrator plays a crucial role in managing and organizing the documentation and records of an automotive dealership. This position is essential for ensuring that all archival materials are systematically stored, easily retrievable, and compliant with relevant regulations. The Archive Administrator will work closely with various departments to maintain accurate records and support the overall efficiency of the dealership's operations. This role requires a detail-oriented individual who can handle sensitive information with discretion and integrity.

Responsibilities:

  1. Organize and maintain physical and digital records of all dealership transactions and communications.
  2. Ensure compliance with legal and regulatory requirements regarding document retention and disposal.
  3. Implement and manage an efficient filing system for easy access to archived materials.
  4. Collaborate with different departments to gather and archive necessary documentation.
  5. Conduct regular audits of archived materials to ensure accuracy and completeness.
  6. Assist in the development of policies and procedures for record management.
  7. Train staff on proper documentation practices and archival processes.
  8. Respond to internal and external requests for information in a timely manner.
  9. Maintain confidentiality of sensitive information and adhere to data protection regulations.
  10. Stay updated on best practices in records management and archival systems.

  1. Detail-oriented with strong organizational skills.
  2. Excellent communication and interpersonal abilities.
  3. Proficient in using document management software and Microsoft Office Suite.
  4. Ability to work independently and as part of a team.

  6. Knowledge of automotive industry practices is a plus.
  7. Ability to handle confidential information with discretion.
  8. Willingness to learn and adapt to new technologies.
  9. Strong time management skills to prioritize tasks effectively.
  10. Experience in a similar role is advantageous.
