For one of our clients, we are searching for an administrative assistant,
who will maintain office supplies, oversee daily operations, and offer assistance with facilities management and technical issues.
In collaboration with the finance department, this role involves scheduling meetings and supervising travel and financial procedures.
The administrative assistant will also oversee office cleaning staff and maintain a neat and effective workstation.
Roles and Responsibilities:
• Administrative Duties:
- Keeping track of business calendars and scheduling meetings
- Typing, filing, and creating reports in line with requests from management
Setting up meeting spaces, making agendas, and taking minutes are all part of organizing and running meetings.
- Inventory of office supplies and stationery
- Support for Technical and Facilities Management: plumbers, electricians, IT specialists, and cleaners.
• Travel Management: booking plane tickets and hotel reservations.
• Finance: keeping track of and managing invoices and spending along with the finance department.
• In charge of overseeing the activities of the office boy and cleaning the restroom, kitchen, and office.
Skills and Requirements
• Proven experience in a front desk representative, administrative assistant, or similar role
• Microsoft Office Suite proficiency
• Practical knowledge of office supplies.
• Professional attitude and appearance
• Solid written and verbal communication skills
• Ability to be resourceful and proactive when issues arise
• Excellent organizational skills
• Multitasking and time-management skills, with the ability to prioritize tasks
• Customer service attitude
