Job Description

The Admin Executive plays a crucial role in supporting the operations of a purchasing and procurement agency in Riyadh, Saudi Arabia. This position requires a proactive individual who can manage administrative tasks efficiently while ensuring smooth communication within the team and with external stakeholders. The ideal candidate will have a solid understanding of office management and procurement processes, contributing to the overall success of the organization.

Responsibilities:

  1. Manage daily administrative tasks, including scheduling meetings and maintaining calendars.
  2. Assist in the procurement process by preparing purchase orders and tracking inventory levels.
  3. Coordinate communication between suppliers, clients, and internal departments.
  4. Maintain accurate records of transactions and ensure compliance with company policies.
  5. Prepare reports and presentations for management review.
  6. Support the team in organizing events and meetings, ensuring all logistics are handled.
  7. Handle incoming calls and correspondence, directing them to the appropriate personnel.
  8. Assist in the development and implementation of administrative procedures.
  9. Monitor office supplies and place orders as necessary to maintain stock levels.
  10. Provide exceptional customer service to clients and vendors, addressing inquiries and resolving issues promptly.

  1. Strong organizational skills and attention to detail.
  2. Excellent verbal and written communication abilities.
  3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
