We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant to provide exceptional support to our CEO. This is a dynamic and fast-paced role that requires a high level of professionalism, discretion, and the ability to anticipate needs. The ideal candidate will be a true partner to the CEO, ensuring the smooth and efficient management of their daily schedule and business operations.
Responsibilities:
Manage the CEO's complex and ever-changing calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and organize materials for meetings, presentations, and conferences.
Manage and prioritize incoming communications, including emails, phone calls, and mail.
Handle confidential information with discretion and professionalism.
Coordinate travel arrangements, including flights, accommodations, and transportation.
Process expense reports and manage invoices.
Act as a liaison between the CEO and other executives, staff, and external stakeholders.
Conduct research and prepare reports as needed.
Assist with special projects and events as assigned.
Maintain organized files and records.
Anticipate the CEO’s needs and proactively address them.
