Job Description

Job Purpose

Support the tender committee with administration of key functions such as issuing and receipt of bids and other related activities ensuring safe custody of all tender records in compliance with relevant Supply procedures and organizing the tender committee meetings.


Key Job Accountabilities - I

Issue and receive tenders from bidders in accordance with company policy. Support facilitation of tender committee submissions in a timely manner.


Assist in the administration of TC meetings and liaise with the TC secretary as required to ensure that relevant end users are invited accordingly.


Coordinate with external members for the meetings to ensure the quorum is available.


Support in opening of technical & commercial bids with the LTC Office.


Support receipt of original tender bonds as per stipulation of tender enquiry documents and release tender bonds after award of contract/purchase order.


Key Job Accountabilities - II

Prepare and maintain TC decisions status report, complete documentation, and follow-up for closure of outstanding issues.


Support urgent tender submissions including required coordination on round robin cases, obtain tender committee decision and communicate to the concerned departments.


Coordinate and communicate information on new tenders, sale of public tenders, award of contract etc. via the QatarEnergy LNG external website.


Keep all tender committee records in safe custody and ensure timely availability of record on as needed. Provide access to SharePoint and other IT tools to relevant members and periodically review and assist in managing access parameters.


Coordinate with LTC Office for bids received in Supply Bid Receiving Account and forward to Contract Analysts / Buyers on Bid Closing Date.


Qualifications

Bachelor’s degree in finance or business administration.


Knowledge and/or Experience - I

5 years’ experience in a similar position or in procurement support services position within the oil & gas/petrochemical industry.
