MARINE ASSISTANT

As we continue to develop Marine & Offshore activities, we are delighted to offer a unique opportunity to join our organisation as Marine Assistant for NS operations. Position is located within our Westbay,Doha office in Qatar and you will be welcomed in a supportive and collaborative learning environment.

Your role:



• Daily administrative and organizational support to related department,
• Shipyard/port entry permits for experts,
• Liaison with ship’s owner, manufacturer and shipyard about the ship’s survey and marine inspections,
• Preparation of the documents including job assignment and blank form of time sheet and Request for Survey for Surveyor prior to survey,
• Preparing and sending the survey reports,
• Filing the Marine documents including rule, Regulation, department file, ship’s reporting file and ship’s corresponding file,
• Prepares the activity report of surveyor and monthly marine activity report and submit to the Manager,
• Files and keeps updates the quality documents (including technical working instructions) received,
• Maintains and updates the job register books,
• Keeps survey reports, certificates, and attestations forms available at all the time. Request blank form to Head Office when under minimum stocks and arranges their display in storage trays for easy use,
• Controls pre-numbered certification,
• Controls timesheet and expend forms of related department,
• Follow up collection and inform related department manager or finance,
• Arrange travel organizations (invitation letters, flight ticket, hotel booking, visa etc.),
• Shall perform other tasks and duties related to his position as assigned by his first line manager
• Documents archiving
Additional tasks to which the planner is responsible or only contributes (to be defined locally as per need)
- Invoicing management
a. Invoice preparation (checking against contract)
b. Invoice sending (internal and external)
c. Follow-up of outstanding invoices
- Survey T&E validation
d. Cross-check information with My Chronos data on case by case basis / upon request of the person in charge of time sheet validation
- Office supplies (purchasing of print materials, coffee etc)

Your profile:



• University Degree.
• Fluency in English.
• Minimum 2 years job experience in similar roles.
