JOB SUMMARY
The Lead - Research Projects Administration within the department of Research Operations is responsible for applying project management and business concepts and practices on the department’s projects and activities. Also, s/he is responsible for ensuring sustainability of project lifecycles, database management and optimal project management solutions to scientists and researchers.
The Lead is responsible for supervising the entirety of research project documentation and project lifecycle management and maintaining the central research projects database. S/he is responsible for creating, formalizing and operating optimal processes Project Management Office (PMO). Drafts appropriate policies, procedures and SOPs as needed.
KEY ROLE ACCOUNTABILITIES
Utilizes project management best-practice and expertise to monitor research projects and provides updates to the respective stakeholder. Responsible for creating, formalizing and operating optimal processes Project Management Office (PMO). Drafts appropriate policies, procedures and SOPs as needed. Creates and maintains project/PMO progress reports and analytics, for stakeholders and higher management. Responsible individual in the PMO for the maintenance and oversight of all research projects within Sidra Medicine. Manages a repository of all the research projects (and project lifecycle) within Sidra Medicine. Populates, maintains and oversees the database in terms of metadata, feasibility of entries and overall robustness of project information, and synchronizes entries where necessary. Monitors the research project lifecycles to ensure the proposed milestones, budgets and research outcomes are tracked and deviations managed. Tracks project issues and risks, as they arise and ensures escalations for timely resolution, duly accounting for and reporting the impact on schedule and budget. Implements contingency plans pertaining to the budgets, risks and issues of research projects. Creates and presents advanced analytical, organizational and executive reports to Sidra Management pertaining to research projects. Supervises the administrative tasks, documentation and forms pertaining to all Clinical Research Interest Groups within Sidra. Organizes new project administration within the Clinical Research Interest Groups, promotes and manages collaborative efforts between clinicians and researchers. Provides project management best practices for new initiatives – and constantly monitors and reports on progress of projects to stakeholders. Leads the initiative of discovering new ways to bridge the gaps of research projects between Sidra Research and Clinics. Maintains oversight over the progress of research projects with the corresponding Lead Principal Investigator. Creates, updates, monitors and ensures effective version control of all the PMO related forms associated with a project’s lifecycle from start to closure. Ensures all research project related policies and procedures are effective, mutually exclusive and applicable in relation to other Sidra departments, such as IRB, CTO, Contracts, etc. Coordinates resources/dependencies allocated to projects (e.g. End-Users, IRB, Legal, Clinical Trials Office) to enable the right environment for timely delivery of projects. Engages in effective communication regarding issues and proactively works towards resolving project-related matters. Responsible for establishing and maintaining effective communication channels and relationships with internal stakeholders to help ensure successful project deliveries. Effectively communicates PMO processes and expectations to stakeholders in a timely and clear fashion. Ensures compliance of PMO activities with Sidra policies/procedures and applicable external regulations, and promotes compliance with researchers/clinicians; writes new policies and procedures where necessary, and constantly improves on processes (e.g. templates, forms etc.). Mentors other Research staff in accordance with organizational policies and applicable laws. Builds, develops, and grows any internal/external business relationships vital to the success of projects and the PMO. Introduces and applies business concepts and best practices in the PMO. QUALIFICATIONS, EXPERIENCE AND SKILLS – SELECTION CRITERIA
ESSENTIAL PREFERRED Education Bachelor’s Degree in a related field Master’s Degree in a related field Experience 7+ years In business development, business analytics, project management or similar experience. 10+ years In business development, business analytics, project management or similar experience. Certification and Licensure Certification in project management e.g. Prince2/PMP Job Specific Skills and Abilities Demonstrated knowledge in projects/activities planning, implementation and monitoring and applying best practice project management and/or business concepts and methodologies.
Demonstrated management skills, interpersonal skills and customer service skills to interact with administration and staff.
Ability to analyze complex problems and develop recommendations and solutions.
Excellent verbal, non-verbal, and written communication skills.
Proficiency with Microsoft Office suite
Fluency in written and spoken English
Significant prior project management or business development experience.
Experience in managing projects from start to end.
Good understanding of sciences, academic, research methodologies and environments.
Strong understanding of compliance and regulatory environment for scientific projects.
Ability to perform effectively in a complex changing environment.
