Job Purpose:
The Interview Coordinator is responsible for providing logistics, coordination, communications, and administrative support to our candidates and stakeholders.
Coordinators support the transformation of engaged candidates into engaged employees, and assist in facilitating the career progression of existing employees, by ensuring the delivery of an empowering experience to applicants, candidates and internal recruitment process customers.
Accountabilities:
Deliver interview logistics, coordination and administrative support. Ensure that all the information is tracked and logged in the appropriate systems.
Responsible for the interview logistics arrangements for candidates, making sure that they meet all requirements and indicated time frames;
Interview logistics activities might include (but not be limited to) scheduling interviews, booking accommodation and tickets, Meet & Greet Services, requesting business visas, ensuring the delivery of the meal allowances, and communicating any special assessment instructions, etc.
Ensure appropriate panel packs and interview guides are prepared in timely manner.
Provide exceptional and individualised services to Executive candidates as required.
Initiate requests for exceptional approvals during the interview stage as required.
Provide suggestion to resolve any system relative issues or concerns associated with Interview Logistics.
Maintain high levels of confidentiality with regard to the candidates information contained in Taleo, Email and documents.
Appropriately escalate questions and concerns managers and recruiters, if required.
Ensure appropriate rooms, assessment spaces and tools are available in line with the needs of any given to the candidate and the panel members.
Based on customer feedback, contribute to the continuous improvement of the group interviews by making relevant suggestions and supporting the direction defined by the Interview Logistics Specialist.
Manage exceptional issues/situations, tracking the progress and liaising with relevant parties to normalise situations as efficiently as possible. Escalate issues as required.
Establish good relationships with all the team members and offer support when necessary.
Suggest improvements and assist to develop new materials and tools that would be beneficial for candidates and new employees.
Maintain a high level of knowledge about Qatar and its culture in order to be an engaging brand ambassador, to be able to better welcome and support all the candidates and to accurately answer their questions.
At all times have a high respect for all cultures and show awareness for cultural variations in communication and interaction.
Convey a positive image of the company through candidate communication and ensure standard responses are given for the same question.
Perform other department duties related to his/her position as directed by the Head of the Department
