As we continue to grow, we are looking for an experienced and proactive Executive Secretary to provide high-level administrative support to our senior management team. This position is open to Arabic nationals who possess a strong organizational and communication skill set, and who can contribute to our dynamic team.
Position Overview: The Executive Secretary will provide comprehensive administrative support to executives, ensuring the smooth operation of daily activities. The ideal candidate will have a strong command of both Arabic and English, a high level of professionalism, and the ability to manage multiple tasks efficiently in a fast-paced environment.
RequirementsKey Responsibilities:
- Manage and organize executive schedules, meetings, and travel arrangements
- Handle and prioritize incoming calls, emails, and correspondence
- Prepare and edit reports, presentations, and other business documents
- Maintain an organized filing system, ensuring easy access to key documents and information
- Coordinate meetings, conferences, and events for the management team
- Take minutes at meetings and ensure accurate records are kept
- Manage office supplies and equipment, ensuring that the office runs smoothly
- Draft and send routine communications and business correspondence
- Assist in the preparation and review of contracts, reports, and other documents
- Maintain confidentiality and handle sensitive information with discretion
- Perform other administrative tasks as assigned by executives
Requirements:
- Native Arabic speaker with proficiency in both Arabic and English (written and spoken)
- Proven experience as an Executive Secretary, Personal Assistant, or similar role
- Strong organizational and multitasking skills with a keen attention to detail
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Ability to work under pressure and meet tight deadlines
- Strong interpersonal skills and a professional demeanor
- Discretion and confidentiality when handling sensitive information
- Ability to handle multiple tasks efficiently and proactively
- Strong time management and problem-solving abilities
- A bachelor's degree or equivalent in Business Administration or a related field (preferred)
