Job Description

The Events Assistant supports the events function as a key component of community engagement. Duties include assisting in the planning, organization, and execution of events, from preparation to delivery and follow-up, with the goal of strengthening relationships between HEC Paris, Doha, and the local stakeholder community.


  • Support the execution of the event strategy by assisting in the planning and coordination of engagement activities
  • Assist in organizing and delivering events of various formats (live, virtual, hybrid)
  • Assist in maintaining and updating an annual events calendar
  • Produce event briefs and post-event reports
  • Provide logistical support, including venue bookings, speaker coordination, scheduling, and preparation of event materials (invitations, promotional items, etc.)
  • Participate in generating mailing lists and updating records pre- and post-event.
  • Liaise with external event partners, vendors, and clients as needed
  • Support compliance with professional event management standards, including health and safety protocols
  • Monitor event proceedings and assist in resolving any on-site issues
  • Contribute to post-event analysis and feedback collection to improve future events
  • Help coordinate event communications and enhance visibility within the local stakeholder community
  • Support budget tracking and cost-effective event planning

Qualifications
  • Bachelor’s degree in Communications, Marketing, Business, or a related field preferred
  • 2+ years’ work experience, ideally in education, culture, or wider charitable sectors
  • Relevant experience in event assistance or coordination preferred
  • Strong organizational and planning skills, with excellent time management and the ability to multitask.
  • Excellent interpersonal and intercultural skills, together with the ability to work collaboratively and courteously with varied stakeholders, including executives 
  • Ability to manage wider processes outside of direct line management responsibility through relationship-building and influence
  • Ability to anticipate problems and generate solutions quickly
  • Ability to work under pressure in a busy environment
  • Ability to attend events and possibly work non-traditional hours such as late evenings and some weekends 
  • Ability to coordinate with multiple external suppliers
  • Experience working with Salesforce, MS Dynamics, or similar CRM
  • Excellent verbal and written communication skills in English and Arabic; proficiency in French is a strong advantage
  • Prior experience in Qatar and/or GCC preferred
