We are currently seeking a reliable and detail-oriented Document Controller to join our team and ensure the proper management and control of all company documents.
Position Overview: The Document Controller will be responsible for managing, organizing, and maintaining the company’s documents, both physical and digital. The ideal candidate will be highly organized, detail-oriented, and capable of ensuring that all company documentation is accurate, easily accessible, and compliant with company policies and industry standards.
Key Responsibilities:
- Organize, manage, and control all incoming and outgoing documentation, including contracts, reports, technical documents, and other company files
- Ensure all documents are properly filed and easily retrievable in both physical and digital formats
- Maintain a document control system and ensure consistency across all project documents
- Review and verify documents for completeness, accuracy, and compliance with company and legal requirements
- Provide document control support for ongoing and completed projects
- Assist in the preparation, distribution, and storage of documents as needed
- Implement and maintain document management systems and processes to ensure efficient workflow
- Track and update document revisions, ensuring that the most current versions are available to all relevant team members
- Coordinate with project managers, engineers, and other departments to ensure that documents are accurately maintained and up-to-date
- Ensure compliance with applicable regulations, standards, and best practices related to document management
- Perform periodic audits to ensure proper document control procedures are being followed
- Prepare reports on document management processes and suggest improvements to increase efficiency
Requirements
Requirements:
- Proven experience as a Document Controller or in a similar administrative role
- Strong organizational skills with an excellent attention to detail
- Proficiency in document control software and systems (e.g., Procore, Aconex, SharePoint, etc.)
- Excellent knowledge of document management procedures and best practices
- Strong communication and interpersonal skills
- Ability to handle confidential information with discretion
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Good understanding of document control processes in a project-based environment (real estate, construction, engineering, etc.)
- Strong time management skills and ability to prioritize tasks effectively
- Bachelor's degree or equivalent qualification (preferred)
Preferred Skills:
- Experience with document management in the construction, engineering, or real estate industry
- Knowledge of ISO 9001 or other quality management standards
- Ability to work with a diverse team and manage multiple projects simultaneously
