Job Description

Job Summary
Responsible for managing all business documents. Daily tasks include scanning and uploading paper documents, organizing them on a secure server, and ensuring proper access control. This role involves retrieving specific files upon request from various departments and overseeing the flow of documents in and out of the department.


We are looking for a highly skilled Administrator to join our Commercial Pumps department. The ideal candidate should have strong experience in efficiently managing administrative tasks. This role requires the ability to work independently, demonstrating a proactive approach to learning and skill development. Key Duties & Responsibilities:


  • Prepare quotations and assist in tender processes.
  • Maintain records of both soft and hard copies of all documentation.
  • Support operations by tracking documents and ensuring their validity.
  • Manage timesheets, invoices, client submissions, and acknowledgments.
  • Oversee petty cash, asset registers, insurance, and asset utilization.
  • Maintain staff records, including health & safety, training plans, and annual leave.
  • Develop and nurture long-term relationships with customers.
  • Record and maintain customer satisfaction data.

QHSE Responsibilities:


  • Develop and implement compliant HSE management plans to address risks and enhance performance within their area of control.
  • Ensure activities under their control align with PETROTEC Directives by submitting required status and performance reports for sites and operations.
  • Verify that all appointed supervisors possess the necessary capabilities to fulfill their HSE responsibilities.
  • Engage all company employees and HSE Committees in relevant HSE plans for sites and activities within their business units.
  • Assess the existence and effectiveness of HSE plans through audits and reviews.
  • Monitor employees' HSE performance and knowledge regularly, following performance monitoring procedures, and provide recommendations to management.
  • Conduct effective reviews and implement corrective actions in response to incidents, defects, hazards, procedural inadequacies, and suggested improvements escalated by the HSE Engineer.
  • Ensure compliance with leadership requirements outlined in the HSE Management Standards.
  • Refer to the OHSMS Manual for additional details on HSE roles, responsibilities, accountability, and authority.
