Job Description
Key Result Areas
Oversee the scheduling and planning of meetings and events for the Head of the Hiring Department.
Manage the follow up of high-level actions with the Hiring Department's internal and external stakeholders.
Oversee meeting protocol and ensure communication and notice of meetings to all stakeholders.
Review communications and correspondence prior to issuance.
Oversee preparation of documents and reports related to the Head of the Hiring Department's meetings.
Take a leading role in ensuring seamless, efficient and effective meetings operations related to the Head of the Hiring Department.
Employ quality assurance measures related to the Head of the Hiring Department meetings, communications, and correspondence.
Manage the communication, coordination, and follow up activities related to the Head of the Hiring Department with the QF Higher Management offices.
Serve as hiring departmet primary point of contact for external organizations, ministries, and other local entities.
Support the hiring department team in relation to correspondence and communications related to meetings with internal and external stakeholders.
Close coordination and liaison with the team in terms of planning and coordination for hiring department related meetings.
Prepare briefs, reports, studies, and presentations as requested by the Head of the Hiring Department.
Oversee Arabic to English & English to Arabic translation and interpretation activities, and review of translations (Arabic to English; English to Arabic) and assist, as needed.
Lead KPI development for the evaluation of planning and follow up activities related to the hiring deapartment.
Participate in related business improvement, business continuity and risk management activities.
Perform the hiring department's Champion role as assigned by supervisor and in alignment of the approved hiring department Champions Manual.
Other reasonable tasks, as assigned by supervisor.
Minimum Knowledge, Skills & Experience:
Bachelor’s degree in Business, Communication, or International Relations.
5-8 years of relevant full-time work experience in high-level protocol work, at least 2 of which in a supervisory capacity.
Thorough understanding of Board meeting operations, general etiquette, and international and local protocol.
Outstanding interpersonal skills, tact, and diplomacy.
Outstanding analytical and interpersonal skills; able to accurately assess workloads, evaluate performance, and motivate teams.
Excellent organizational and planning skills and event planning and management experience
Excellent writing skills with the ability to draft and edit a variety of written reports and communications and to articulate ideas clearly and concisely; Arabic proficiency is a must.
