Job Description

This position will be based in Jerusalem and reports to the Senior Logistics AssociateKEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly,Using the correct budget codes, vendor details, quantities, contract rates and contract terms.Perform daily closing and balancing payments of receipts.Maintain and manage daily logs of invoice receipts and processed invoice in an organized matter.Ensure service providers submit their claim in a timely manner according to WFP corporate transport and logistics standards.Support oversight for billing data quality and integrityManage logistics vendors’ invoices including performance monitoring and measurement, supported by analysis and recommendations.Manage documentation processing for execution of logistics operations (e.g. customs clearance, invoice verification),Support reconciliation of data in country office and corporate systems to determine validity, ensure accuracy, and make follow-ups accordingly, in support to informed decision-making.Collect and compile data, produce and/or contribute to reports (e.g. financial closure, transport performance, invoice status).Supervise the work of support staff, providing practical advice and guidance, to ensure individual and team objectives are delivered to agreed standards and deadlines for all assistance modalities.Respond to a variety of technical queries/requests for support, following standard processes, and obtaining guidance as required,Liaise with internal and limited number of external stakeholders to support efficient funds management and invoice processing.Follow up on open items (POs) and coordinate with the relevant stakeholders to close unnecessary items.Perform other duties, as required by the supervisor.
