Introduction:


The Department of Paediatrics and Child Health at the Aga Khan University is dedicated to providing cutting-edge clinical services to children. We offer high-quality undergraduate and postgraduate training, including subspecialty training and research opportunities. Our inpatient facilities feature a Paediatric ward with two units totaling 84 beds and a state-of-the-art Intensive Care Unit (Neonatal/Paediatric & Paediatric Cardiac Intensive Care units) equipped with the latest technologies and protocols. Additionally, our Paediatric Cardiology section offers a recognized three-year Fellowship training program accredited by CPSP.

Responsibilities:


Reporting to the managers, the incumbent will be responsible for providing administrative support, ensuring the compliance with regulations, giving supervisory and administration support, promotion process improvement, facilitating and assisting faculty in day-to-day operations, initiation of different sections and working on projects assigned by the supervisor.


Specific responsibilities include:


  • Work closely with the Section Head and Workshop Directors to plan, coordinate, and execute CME workshops.
  • Develop and maintain workshop content on the VLE platform, managing pre- and post-workshop data.
  • Assist faculty with routine tasks, including preparing sectional monthly, quarterly, and annual reports.
  • Provide logistical support for meetings and events, including minute-taking.
  • Manage the departmental OPPE report biannually, including data collection, analysis, and timely submission to the CMO office.
  • Coordinate with HR for faculty recruitment processes, including interviews, PR requests, and record maintenance.
  • Arrange faculty transport and travel as needed.
  • Handle phone calls and welcome guests on behalf of faculty.
  • Support departmental activities such as OSCEs, TOACS, and other events.

Requirements:


  • Bachelor’s / Master’s in Arts / Master’s in Science / MBA
  • Minimum 2 years of administrative experience, preferably in a healthcare setting.
  • Basic understanding of clinical operations.
  • Strong time management, organizational, and multitasking abilities.
  • Excellent team player with strong collaboration skills.
  • Proficient in using technology, including software applications and Virtual Learning Environments (VLE).
  • Hands-on experience with Microsoft Office and other essential computer skills.
  • Strong communication and interpersonal skills.
  • Well-developed administrative and analytical abilities.
  • Self-motivated, adaptable to change, and open to learning.
  • Ability to perform multiple tasks under pressure, meet deadlines, and manage priorities effectively.
