Role and Responsibility:


Reporting to the Manager EHS, the incumbent will be responsible to perform a variety of administrative and EHS functions for the Safety & Security Department. This position requires ability to develop relationship with variety of people and project a professional image through in-person and phone interactions. Should be a self-starter and possess the ability to work with minimal supervision. Should be reliable and handle multiple work assignments that may be difficult to prioritize.


The incumbent will be responsible to:


  • Assist Manager EHS in updating EHS Plans and policies as and when required.
  • Assist Manager EHS in key functions such as updating FMS Indicators/KPIs, Audit Improvement Action Plans etc.
  • Assist Manager EHS in reviewing, updating and issuance of EHS Risk Analysis and FMS Appraisal Reports.
  • Keep attendance, leave & overtime record of security department’s employees.
  • Ensure that filing and record keeping are designed and maintained to permit easy retrieval of information.
  • Compile and prepare monthly, quarterly and yearly survey and other reports.
  • Ensure smooth functioning of the EHS section.
  • Assist Manager EHS, in drafting of EHS related memos / letters and presentation.
  • Maintain close coordination and work in collaboration with other departments (like Design, PSCMD, FMD, HR etc.) to provide and obtain continuous support and services.
  • Provide shared administrative support to relevant personnel within the divisions as assigned.
  • Coordinate with HR in respect of arranging interviews, and getting the required forms filled of new employees to assist applications / new employees in the recruitment process for the EHS section
  • Prepare all purchase requisitions / material stock requisitions and follow up for material ordered/requisitioned.
  • Maintain stationery stock for EHS section /department and issue stationery as and when needed.
  • Screen telephone calls, handle them personally and give information based on knowledge or the department head’s viewpoint;
  • Perform additional official tasks assigned by the Manager / Director as and when needed.

Requirements:


  • Graduate from a recognized university with at least 5 to 6 years’ of relevant experience
  • Organized and focused individual with excellent communication and interpersonal skills.
  • Track record of mastering new tasks with little or no supervision;
  • Excellent organizational skills & discretion with confidential information.
  • Proficient in use of computer packages especially MS OFFICE.
  • Excellent Data Management Skilll on MS Excel
