Job Description
At 9D Technologies, we are looking for a Product Operations Coordinator to manage and optimize our product meetings, track action items, and ensure seamless project execution across all teams. This role is critical in ensuring all product discussions translate into actionable tasks with clear accountability while maintaining live tracking of all projects. The ideal candidate will have strong organizational, communication, and documentation skills, along with the ability to work across multiple product teams.
Responsibilities
- Attend all product meetings and take detailed minutes, capturing key discussions, decisions, and action items.
- Assign accountable persons for each action item discussed in meetings and ensure clarity on responsibilities.
- Maintain a structured documentation system for all product-related discussions.
- Share meeting notes and action items with all relevant stakeholders immediately after meetings.
- Maintain a live project tracking dashboard that is visible to the company’s leadership and product teams.
- Ensure all action items are updated with deadlines, status, and ownership.
- Follow up with responsible team members to ensure progress and timely completion of action items.
- Provide structured reports on project progress, blockers, and key milestones.
- Regularly update leadership on the status of key product initiatives.
- Prepare weekly/monthly reports summarizing product progress, blockers, and resolutions.
- Identify patterns of delays, inefficiencies, or misalignment and escalate them proactively.
- Work closely with product teams to ensure meetings are efficient and focused.
- Standardize meeting formats, action item tracking, and reporting methods.
- Overview of Asana, Slack, and other project management tools to improve cross-functional collaboration.
- Act as a bridge between product, engineering, design, marketing, and leadership teams.
- Ensure alignment between teams regarding product goals, timelines, and expectations.
- Organize and facilitate cross-team discussions when needed to resolve dependencies and blockers.
