We are seeking a professional and customer-oriented Front Desk Officer to join our team. As the first point of contact for visitors and clients, you will play a key role in creating a positive and welcoming environment. Your responsibilities will include handling administrative tasks, managing phone calls, and providing exceptional customer service to ensure the smooth operation of the office.
Responsibilities:
Reception & Customer Service:
- Greet and welcome visitors, clients, and employees in a friendly and professional manner.
- Direct visitors to the appropriate personnel or department.
- Answer and screen incoming phone calls, taking messages or redirecting as necessary.
- Respond to inquiries via phone, email, or in person, providing information about the company, services, and office procedures.
- Ensure that the front desk area is clean, organized, and welcoming at all times.
Administrative Support:
- Manage office supplies inventory and order supplies as needed.
- Handle incoming and outgoing mail, packages, and deliveries.
- Assist with scheduling appointments and meeting room bookings.
- Maintain and update the visitor log, ensuring compliance with security procedures.
- Coordinate office maintenance and cleaning schedules.
Security & Access Control:
- Ensure visitor sign-in and issue visitor badges according to company policies.
- Monitor and maintain access control systems to ensure office security.
- Address any security concerns or incidents by notifying the appropriate personnel.
Clerical Duties:
- Perform general administrative tasks such as filing, photocopying, and document management.
- Assist with data entry, updating records, and maintaining databases.
- Prepare and distribute internal communications and reports as required.
Team Collaboration:
- Work closely with other departments to support operational efficiency.
- Assist in organizing company events, meetings, or conferences as needed.
- Handle customer or employee queries with professionalism and urgency.
