Job Description

We are seeking a professional and customer-oriented Front Desk Officer to join our team. As the first point of contact for visitors and clients, you will play a key role in creating a positive and welcoming environment. Your responsibilities will include handling administrative tasks, managing phone calls, and providing exceptional customer service to ensure the smooth operation of the office.


Responsibilities:


Reception & Customer Service:


  • Greet and welcome visitors, clients, and employees in a friendly and professional manner.
  • Direct visitors to the appropriate personnel or department.
  • Answer and screen incoming phone calls, taking messages or redirecting as necessary.
  • Respond to inquiries via phone, email, or in person, providing information about the company, services, and office procedures.
  • Ensure that the front desk area is clean, organized, and welcoming at all times.

Administrative Support:


  • Manage office supplies inventory and order supplies as needed.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Assist with scheduling appointments and meeting room bookings.
  • Maintain and update the visitor log, ensuring compliance with security procedures.
  • Coordinate office maintenance and cleaning schedules.

Security & Access Control:


  • Ensure visitor sign-in and issue visitor badges according to company policies.
  • Monitor and maintain access control systems to ensure office security.
  • Address any security concerns or incidents by notifying the appropriate personnel.

Clerical Duties:


  • Perform general administrative tasks such as filing, photocopying, and document management.
  • Assist with data entry, updating records, and maintaining databases.
  • Prepare and distribute internal communications and reports as required.

Team Collaboration:


  • Work closely with other departments to support operational efficiency.
  • Assist in organizing company events, meetings, or conferences as needed.
  • Handle customer or employee queries with professionalism and urgency.
