Job Roles / Responsibilities:
Reporting to Manager HR, you will play an integral role assisting in the provision of operational support to Business Partners, Centre of Expertise and the wider business performing transactional and/or administrative HR activities.
The candidate will be responsible to:
- Process employee resignations by formally issuing a Resignation Acceptance Letter.
- Update HR systems with resignation details, maintain compliance records, coordinate clearance from relevant departments, and ensure timely settlement of terminal benefits.
- Facilitate the contract renewal process by obtaining formal approval from the department head and issuing the extension letter to the employee.
- Coordinate the employment confirmation process by gathering feedback and approval from the reporting manager and business head, followed by issuing a formal confirmation letter.
- Ensure timely delivery of HR-related letters (resignation acceptance, contract extension, confirmation, etc.) via email or hard copy and update HR records accordingly.
- Provide support to employees by addressing HR-related queries and concerns, ensuring a positive employee experience.
- Track and maintain key performance indicators (KPIs) for severances, contracts and confirmation.
- Perform any other tasks assigned by the supervisor or Head of Department.
Requirements:
You must have:
- Bachelor's degree
- proven track record of providing People/HR administrative support to a large, multi-site, multi-disciplined organisation
- experience of assisting with HR Processes
- proficient in the use of IT, good working knowledge of Microsoft Applications such as Word, Excel & Outlook
- problem solving and managing tight deadlines
- prioritisation of own workload in a busy office environment
- accurate and timely data entry onto people systems – ensuring the ongoing integrity of data
- maintenance of up-to-date filing system – Inc. electronic files
- able to communicate effectively with people at all levels in both writing and verbally
- understand and be able to articulate information appropriately, delivering the right message at the right time in the right manner
- able to engage and influence peers, colleague, and stakeholders
- focuses on priorities and deliverables and follows up to ensure goals are achieved
