Job Description

Position Title: Assistant, FAS Planning


Entity: Aga Khan University


Location: Karachi, Pakistan

Responsibilities:


You will be responsible to manage the front office and act as the first contact person attending students, faculty, and visitors and providing necessary information. You will also be responsible for receiving various requests regarding transport, space management and venues along with managing FAS operations daily. You will also be responsible for the contractual and support staff with timely support to the FAS team. In this position you will be responsible for:


  • Monitoring all FAS operational activities to ensure that all plans are in accordance with agreed timelines and resource requirements
  • Managing front office and ensure timely and effective management of all activities for students, staff, and faculty.
  • Dealing with Student, Staff and Faculty requests related to transport, venues, classes, resources and events
  • Manage FAS Spaces ensuring allotment to other entities smoothly with proper provision of resources.
  • Liaise with contractual and support staff for all requirements
  • Assisting in mapping events and coordinate for FAS Programmatic Activities for faculty, staff, and students
  • Assisting in social media and student related activities, engagements, excursions and trips
  • Assisting in planning and execution of Student Orientation, photoshoots, and other annual rituals at FAS
  • Assisting in managing D-Lab and multipurpose hall for events

Requirements:


The incumbent should have:


  • An intermediate with preference to a diploma holder/ undergrad from a HEC recognized university/institution
  • At least one year experience of working directly with students/youth preferably in an educational environment
  • Prior experience working in an academic department with a large undergraduate program is preferable
  • Experience of working under minimum supervision in environments where there are tight time schedules
  • Excellent interpersonal skills and experience in dealing with vendors, stakeholders, students, faculty and dean
  • High level of competency with word processors, spreadsheets and databases (MS Word, MS Excel, MS Outlook mail and calendars, Oracle databases in particular)
