A. Position Summary
The Assistant Facilities Manager has primary responsibilities for Hyderabad/GBS facilities, office employees and guests, ensuring their facilities needs are addressed in a customer-focused manner. Please note that the Hyderabad facility is an extended hour facility supporting both APAC & US in Warner Bros. Discovery (WBD).


This position will manage the contracted Integrated Facilities Management (IFM) team in the day-to-day facilities operations in Hyderabad GBS Office. As the primary point of contact, the role must balance between company standards/policies/practices and customer needs, ensuring all are met reasonably and professionally. From time to time, there will be interaction with the APAC/Global Facility team on collaboration and engagement.


The role will report into the Manager (All India) and provide support for general office management as required, including budget management and reporting.


 
B. Key Responsibilities (but not limited to the below mentioned)


1.    Lead and manage the IFM team, providing guidance, training, and performance evaluations.
2.    Develop and implement administrative policies, procedures, and systems to improve overall efficiency and effectiveness.
3.    Coordinate and monitor facility operations, including HVAC systems, electrical systems, plumbing, and general maintenance as per scheduled timeline.
4.    Conduct regular inspections of general facilities upkeep (meeting rooms, works areas) to identify maintenance needs, safety hazards, and improvements such as restacking, renovations and leasehold improvement works.
5.    To work with Procurement for all general purchases per WBD’s policy and getting internal GRE approvals for general repair & maintenance activities in a timely manner.
6.    Manage/support WBD internal/external events i.e. Diwali lunch, New Year Dinner etc.
7.    Manage office supplies (including stationery like paper and letterheads), H&S equipment (defibrillator), and pantry supplies to ensure smooth operations and a productive work environment. 
8.    Coordinate with the Security team for any day-to-day security related issues.
9.    Coordinate transport for shift workers.
10.    Maintain and update company records such as furniture and asset list to ensure accurate and secure data storage. 
11.    Maintain the keypress and register.
12.    Management of mailroom & front desk executive operations. 
13.    Serve as a point of contact for internal and external stakeholders, handling inquiries and resolving issues in a timely manner – supporting general administrative needs and facilitating interdepartmental coordination.
14.    Prepare, monitor budget expenses and reporting for the Hyderabad/GBS facilities for APAC budget tracking and reporting.
15.    Stay updated on industry best practices and trends in workplace management and recommend improvements to enhance efficiency.
16.    Liaise with all regulatory bodies for obtaining statutory/mandatory letters, approvals and consents within the organization i.e., Legal, Finance, Tax teams including GRE etc..
17.    Ensure compliance with company’s Health & Safety, Environmental regulations such as GHG.
