Position Purpose:
The Admin Officer plays a crucial role in ensuring the efficient and smooth operation of our organization. This role encompasses a wide range of responsibilities, including administrative support, office management, and coordination of various tasks. The ideal candidate will be detail-oriented, organized, and able to manage multiple tasks simultaneously, contributing to the overall success and productivity of the organization.
Education & Professional Qualification:
- Degree(s)/Major(s): Bachelors or Masters in a relevant field from a reputed local/foreign University.
- Certification(s): Not mandatory, but certification in a relevant field is a plus.
Experience: ● Minimum 1 to 2 year experience in Administrative role
Responsibilities:- Provide comprehensive administrative support to ensure smooth office operations with HR and finance.
- Organize and maintain office inventory, records, and documentation systems.
- Handle correspondence, emails, and phone calls efficiently.
- Oversee petty cash flow, maintain records, and reconcile expenditures.
- Prepare, document, and process invoices, receipts, and purchase orders.
- Manage office supplies inventory and place orders to vendors before running out.
- Schedule and coordinate employee accommodations, parking, and travel arrangements.
- Ensure proper functioning of office equipment and liaise with vendors for repairs or services.
- Ensure adherence to company policies and procedures.
- Assist in the development and implementation of administrative systems and policies.
Requirements- Generate reports related to office operations, expenses, and compliance.
- Identify and report discrepancies in financial and operational records.
- Maintain confidentiality and secure sensitive information.
- Act as a point of contact between departments to facilitate communication.
- Organize company events, meetings, and other activities.
- Track project timelines and assist in task prioritization.
- Address and resolve administrative or operational issues effectively.
- Provide solutions to improve administrative processes and efficiency.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and office management tools.
- Strong problem-solving skills and attention to detail.
