PURPOSE OF THE ROLE:


The role of Personal Assistant at AXA Global Business Services is crucial in providing professional, secretarial, and administrative support to the CCTO. This role plays a key part in ensuring the smooth operation of the executive's office and providing essential support to the wider team. Key responsibilities include managing the CCTO's schedule, organizing important meetings, coordinating travel arrangements, preparing correspondence and reports, and handling various administrative tasks. Additionally, the Personal Assistant may be involved in project management, building relationships with internal and external stakeholders, and facilitating effective communication within the team. The dedication and expertise of this role allow the CCTO to focus on strategic initiatives, knowing that their administrative affairs are in capable hands.


KEY RESPONSIBILITIES:


  • Spearhead comprehensive diary management and ensure effective management of the ExCom member's day, including balancing personal commitments and professional obligations to ensure smooth operations and a well-organized schedule.
  • Coordinate all travel arrangements, domestically and internationally, including preparing detailed and accurate itineraries and briefing packs, booking venues, flights and transfers, accommodation, and visas, ensuring seamless and efficient travel experiences.
  • Organize conference calls, Teams meetings, and in-person meetings, acting as the principal point of contact when the ExCom member is visiting local premises, facilitating seamless and productive engagements.
  • Support time management and prioritization, ensuring efficient communication and task management for the ExCom member, contributing to well-organized and streamlined operations.
  • Provide ad-hoc support where required, demonstrating adaptability and readiness to address diverse and dynamic needs.

They should embody adaptability, resilience, and a proven track record of successful project management and stakeholder engagement. Thriving in a fast-paced and dynamic environment, the ideal candidate is not just a support system; they are a strategic asset, ready to embrace diverse and evolving needs within this pivotal position.


Additionally, the candidate should exhibit the following competencies:


  • High attention to detail and significant experience in practically supporting a senior executive, ensuring that the ExCom member's office runs smoothly and efficiently.
  • Strong interpersonal skills with the ability to communicate effectively at all levels, fostering positive interactions and maintaining a professional and efficient work environment.
  • Excellent organization, diary management, and planning skills, ensuring the ExCom member's schedule is well-coordinated and optimized.
  • Significant tact and integrity to manage sensitive information and handle confidential matters with discretion and professionalism.
  • Fluency in English, facilitating effective communication and collaboration across diverse stakeholders and partners.
  • Strong computer skills, with demonstrable experience in Microsoft software and devices (e.g., Word, Excel, and PowerPoint), ensuring efficient use of technology to support the ExCom member's operations.
  • Ability to work calmly and effectively when handling multiple requests, prioritizing to ensure business objectives are achieved, demonstrating resilience and adaptability.
  • Assertive with strong influencing skills, contributing to effective engagement and communication with internal and external stakeholders.
  • Ability to use own initiative, be proactive, and deal with queries promptly as they arise, exhibiting a proactive and solutions-oriented approach to support the ExCom member and the wider team.
