Position Information Position Type Professional Staff Faculty Track Position Title Administrative Assistant, Office of the Dean Employment Status Full Time Months 12 Campus Biddeford, ME Description The College of Arts and Sciences (CAS ) at the University of New England (UNE ) is seeking a motivated individual with strong communication, organizational, and customer service skills to join our team as anAdministrative Assistant in the Dean’s Office. This position performs a wide variety of administrative and organization tasks supporting office operations assisting the dean, associate deans, and professional staff in the office. The Administrative Assistant also serves as the primary contact for the Dean’s Office interacting with students, faculty, and staff from academic and administrative units across campus

Welcoming and directing faculty, professional staff, students and visitors to the Dean’s Office. Answering, screening, and transferring phone calls. Receiving and routing all incoming documents and requests to the Dean’s Office, electronically logging and filing all incoming and outgoing documents. Retrieving information as requested from records, emails, meeting minutes, and other related documents; preparing reports and written summaries when needed. Participating in key office and college planning activities, with a focus on compiling information and data needed for planning. Serving as a liaison to explain and enforce polices and procedures to faculty, professional staff, students, and visitors. Responding to and resolving administrative inquiries and questions. Coordinating and scheduling meetings and appointments for the associate deans and Dean and needed. Making travel arrangements for the associate deans and dean as needed. Recording and distributing minutes and/or other records from meetings. Maintaining and purchasing office supplies and other materials for the office; coordinating maintenance of office equipment. Performing other related duties as needed.
Qualifications An associate’s degree plus at least one year of relevant administrative experience, or a combination of education and experience from which comparable knowledge and skills are acquired.
Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Proficiency in Microsoft Office Suite and/or related software. The ability to provide excellent customer service to a diverse group of students, faculty, and professional staff. An understanding of clerical procedures and systems, with good basic administrative and organizational skills. The ability to work independently.
