Job Description



Job Overview:



The Head of Payroll and Personnel Services is responsible for controlling the activities of the Payroll so that all employee records (salaries/entitlements) are properly updated through the computerized Payroll/Human Resources System in accordance with GMRL policy and procedures. Plan, organize and control the administrative functions of the HR Personnel and oversee the implementation of the administrative HR policies within the company.

Responsibilities & Duties:



General Duties
Have a thorough knowledge of the company culture and mission Have a thorough knowledge of the internal policies and procedures Abide to internal rules and regulations Maintain company’s tools and equipment in good condition Execute all listed duties and tasks as highlighted in the duties checklist Ensure all checklists, forms and reports are filled adequately Be familiar with opening and closing procedures of the related function Have weekly meetings with Subordinates to raise issues and find corrective measures Conduct daily briefings with team as required by Management Attend to briefings and meetings as requested by Management Act as a role model to subordinates by displaying a high level of professionalism and integrity Lead & Assist in training sessions when required Perform any other duty as assigned by Management
Job Related Duties
Ensure staff attendance record is maintained accurately and staff matters satisfactorily. Prepare annual leave chart for all staff within the Company in conjunction with concerned Store Personnel and ensure every staff member proceeds on leave accordingly. Follow up on all official employment papers being presented for all new hired employees and new leavers Conduct regular checks on the punching system and ensure the well-functioning of the system Lead the day-to-day payroll administration, collecting timesheets, and acting as initial degree of contact for inquiries and issues related to payroll. Coordinate with the accounting function on end of month salaries transfers to employee accounts Process promotions and salary adjustments Authorize advance payment against salary for new joiners and authorize staff loan requests, maintaining control record Supervise the processing of employee annual leaves and vacations as they occur Available for staff at all levels to advise, counsel and assist with problems or queries. Make sure that new employees are oriented in the company’s rules & regulations, policies & procedures Provide standard and ad-hoc statistical reports and analysis on cost and payroll related activities and take corrective action in accordance with Audit Reports. Maintain all the rules & regulations of the company updated Process employee annual leaves and vacations as they occur in coordination with the Head of HR
Legal Related Duties
Handle all the official papers for the company and all the communication with the ministries Prepare and follow up on the signature of all official employment papers for all new hired employees and all new leavers Follow-up on the registration of new joiners and leavers in the social security Make sure that the entire paid family allowance amount is collected from the social security Assist in preparing and submitting the yearly social security income report on timely manner Follow up on all employees to sign the yearly social security report Arrange to get all required legal documents for the company (social security clearance form, list of all the company’s current and previously employed names and commercial register number) Collect all medical related papers (medicines, Doctors’ fees, lab fees, etc.) from all employees at the specified dates Follow up on the employees to sign a medical form upon delivering their medical papers. Ensure that all employees’ medical related papers are submitted to the social security on time. Register in the ministry of labor the company’s internal discipline, and the official schedule in coordination with the Chief People and Support Officer

Qualifications



A minimum of 5 years’ experience in a similar position A degree in a business-related field or equivalent
