Job Description

The Executive Assistant will provide high-level administrative, operational, and strategic support to the CEO of CME FZ. The Executive Assistant will act as the primary point of contact between the CEO and internal/external stakeholders, ensuring smooth communication, effective coordination, and operational efficiency across the organization and its associated entities and subsidiaries.


The Executive Assistant will report directly to the CEO and will have, among others, the following responsibilities:


Operational Support


  • Assist in the execution of business strategies by tracking key performance metrics and reporting progress.
  • Conduct market research, competitor analysis, and business intelligence gathering to support strategic decision-making.
  • Support the CEO in preparing and reviewing business proposals, agreements, and presentations.

Communication and Liaison


  • Coordinate and facilitate effective communication between the CEO and the different departments and corporate services leads across the company and its subsidiaries.
  • Act as the first point of contact for the CEO, ensuring clear and timely communication with internal and external stakeholders.
  • Manage relationships with clients, regulatory bodies, and partners, maintaining professionalism and discretion.
  • Draft, review, and edit communications, reports, and presentations to ensure alignment with business goals and brand messaging. 

Administrative Support


  • Manage the CEO’s calendar, appointments, and meetings across multiple time zones, ensuring efficient time management.
  • Prepare structured meeting agendas, document meeting minutes, and track follow-up actions to ensure accountability.
  • Prepare detailed reports, presentations, and briefing materials for internal and external meetings, ensuring accuracy and professionalism.
  • Maintain confidentiality of sensitive information and ensure proper handling and storage of official documentation.
  • Develop and implement administrative procedures to optimize executive support operations.
  • Plan, coordinate, and manage travel itineraries, including flights, accommodations, and visas.

Office and Project Management


  • Oversee special projects and initiatives on behalf of the CEO, ensuring deadlines and objectives are met.
  • Identify opportunities for operational improvements and drive process optimizations for efficiency.
  • Assist in budgeting, financial reconciliation, payroll management and expense management and support cost control measures.
  • Provide leadership support in cross-functional projects and company-wide initiatives.
  • Assist in recruitment and onboarding of employees.

Requirements
  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 10 years of experience as an Executive Assistant, preferably in a technology sector.

Communication


  • Excellent communication and negotiation abilities.
  • Ability to maintain discretion and confidentiality.
  • Fluency in English (Arabic and French is a plus).

  • Efficiently prioritize tasks to support executive decision-making.
  • Plan and complete tasks on time.
  • Report on progress and keep others updated regularly.
  • Manage complex problems or risks by analyzing them thoroughly and asking for help when needed.

  • Comfortable in a fast-paced, evolving business environment.

Technical Competencies


  • Strong proficiency in Microsoft Office Suite.
  • Experience with financial reporting and budget management tools.
  • Understanding of cybersecurity best practices for handling sensitive corporate information.
