Job Description

The Secretary position in the real estate sector in Kuwait is a pivotal role that supports the smooth operation of the office. This position requires a highly organized individual who can manage various administrative tasks while ensuring effective communication within the team and with clients. The ideal candidate will possess strong multitasking abilities and a keen attention to detail, making them an essential part of the organization’s success.

Responsibilities:

  1. Manage and organize office operations and procedures to ensure efficiency.
  2. Handle correspondence, including emails, phone calls, and mail, ensuring timely responses.
  3. Schedule and coordinate meetings, appointments, and travel arrangements for executives.
  4. Maintain and update filing systems, both electronic and physical, for easy access to documents.
  5. Assist in preparing reports, presentations, and other documents as required.
  6. Act as a point of contact for clients and vendors, providing excellent customer service.
  7. Support the team in project management tasks and follow up on deadlines.
  8. Conduct research and compile information to assist in decision-making processes.
  9. Ensure compliance with company policies and procedures in all administrative tasks.
  10. Participate in team meetings and contribute to the overall improvement of office processes.
  11. Help in preparing company contracts/agreements
  12. Timely assistance to other company staff, mainly lawyers and finance executives

Preferred Candidate:

  1. Strong organizational and time management skills.
  2. Excellent verbal and written communication abilities.
  3. Proficient in Microsoft Office Suite (mainly Excel & Word) and other relevant software.
  4. Ability to work independently and as part of a team.
  5. Detail-oriented with a proactive approach to problem-solving.
  6. Experience in the real estate industry is a plus.
  7. Ability to handle confidential information with discretion.
  8. Strong interpersonal skills to build relationships with clients and colleagues.
  9. Adaptability to changing priorities and tasks.
  10. Fluency in both English and Arabic is mandatory (able to speak, read, write, and type).
  11. Whoever is willing to work on flexible timing
