Salon Receptionist Job Description
- Client Reception & Assistance: Greet clients warmly upon arrival, assisting them with check-in and ensuring a positive first impression of the salon environment.
- Appointment Management: Confirm client appointments, schedule new bookings, and handle rescheduling or cancellations as needed. Respond promptly to appointment queries via phone, email, or WhatsApp.
- Payment Processing: Accurately process payments through various methods, including cash, credit card, KNET, or online links. Issue receipts, invoices, and staff cards to clients, ensuring clarity on services rendered.
- Client Navigation: Guide clients to their assigned service stations, providing relevant information regarding their service(s). Notify the designated beautician or technician of the client's arrival and any additional services requested.
- Salon Booking Systems: Utilize the salon’s booking platform (e.g., Website, Bookr, Bookeey, etc.) to manage and update appointments. Ensure the system is up-to-date with client details and service preferences.
- Point of Sale (POS) Operations: Efficiently process all POS transactions, including retail sales, ensuring accurate item entry and payment recording.
- Daily Cash and Sales Reconciliation: At the end of each day, verify that all transactions are correct and that the day’s financial totals align. Submit the daily cash income report to the designated office personnel.
- Client Experience Management: Maintain a calm, welcoming atmosphere in the reception area, including controlling the music and ambiance to enhance the overall client experience.
- Walk-In Management: Welcome walk-in clients, answer inquiries about available services, and assist in scheduling appointments based on stylist or technician availability.
- Customer Service & Conflict Resolution: Ensure customer satisfaction by promptly addressing and resolving client complaints or concerns, offering a solution or escalation as necessary. Document any incidents and submit reports or refund requests as applicable.
- Marketing & Promotion: Inform clients about new services, seasonal promotions, and discounts. Cross-sell additional services and retail products when appropriate to enhance client experience and boost sales.
- Administrative Support: Assist with general administrative tasks such as filing, organizing, and keeping the reception area clean and organized. Ensure all client records are properly updated in the salon’s database.
- Team Collaboration: Work closely with the salon’s team, communicating client preferences or special requests, and ensuring smooth coordination between reception and service providers.
- Health and Safety Compliance: Ensure the salon complies with health and safety regulations, including maintaining cleanliness, sanitizing touchpoints, and ensuring client confidentiality.

- Previous Receptionist Experience: Proven work experience in a receptionist or customer-facing role, preferably within a salon, spa, or service-oriented environment. Familiar with handling client inquiries, appointment scheduling, and payment processing.
- Multitasking & Time Management: Excellent multitasking abilities, with a knack for managing several tasks simultaneously without sacrificing quality. Demonstrates strong time-management skills, able to prioritize tasks and meet deadlines in a busy, dynamic environment.
