Job Description
Job Summary:
The Follow-Up Supervisor plays a critical role in ensuring the efficient tracking and coordination of vehicles within rental and leasing operations. This position is responsible for monitoring vehicle movements while they are at the company for maintenance and repairs. It involves coordinating with service advisors, tracking maintenance and repair progress, and ensuring timely reporting of issues. The role also includes preparing reports, overseeing replacement vehicles, and managing drivers to ensure operational efficiency.
Key Responsibilities:
1. Vehicle Follow-Up & Coordination
- Monitor the status of vehicles sent to dealerships for servicing, repairs, and maintenance.
- Track delays or difficulties beyond the normal process and escalate concerns to the Manager for timely resolution.
- Ensure seamless coordination between service advisors, the insurance department, spare parts store, body shops, and workshops.
2. Reporting & Documentation
- Prepare and maintain detailed reports, including:
- Follow-Up Report – Tracking vehicle service progress.
- Budget & Expense Comparison Report – Analyzing maintenance costs against budgets.
- Vehicles in Dealer Report – Monitoring vehicle status at dealerships and highlighting any issues.
- Track the status of vehicles in body shops, dealerships, and those waiting for parts.
3. Driver Supervision & Control
- Oversee the activities of drivers assigned for vehicle movement and follow-ups.
- Ensure adherence to company policies and efficient handling of vehicle transfers.
Work Environment & Conditions:
- Office-based role with regular coordination with dealerships, service centers, and internal departments.
- Requires flexibility to visit service locations when necessary.
