Job Description

Job purpose

The Facilities and Maintenance Manager is a critical role responsible for ensuring the effective management and operational efficiency of the school’s physical infrastructure across multiple branches. This position involves overseeing the day-to-day facilities operations, managing maintenance activities, and ensuring that all buildings are maintained to high standards of safety, functionality, and aesthetics. The role also includes strategic planning for facility improvements, budget management, and compliance with relevant regulations. The Facilities and Maintenance Manager will work closely with school administrators, staff, and external contractors to create a conducive learning environment that supports the educational mission of the school.

Facilities Management

·  Oversee the maintenance, repair, and upkeep of all school facilities, including classrooms, administrative offices, recreational areas, and other school buildings.

·  Develop and implement long-term strategies for facilities maintenance and improvement, ensuring alignment with the school’s goals and budget.

·  Monitor the condition of buildings and equipment, proactively identifying and addressing maintenance needs before they escalate into major issues.

 

Maintenance Oversight

·  Supervise and coordinate the work of maintenance staff, including custodians, maintenance technicians, and groundskeepers.

·  Manage relationships with external contractors and service providers, including negotiating contracts, scheduling work, and ensuring service quality.

·  Implement and oversee preventive maintenance programs to reduce the frequency and impact of equipment failures and facility issues.

 

Safety and Compliance

·  Ensure all facilities meet health and safety standards, including fire safety, environmental regulations, and accessibility requirements.

·  Conduct regular inspections and audits to identify potential hazards and ensure compliance with local, state, and federal regulations.

·  Develop and enforce safety policies and procedures, including emergency response plans for various scenarios such as natural disasters, fire, and security incidents.

 

Budget and Resource Management

·  Prepare and manage the facilities maintenance budget, including forecasting expenditures, tracking costs, and identifying cost-saving measures.

·  Oversee procurement of maintenance supplies and equipment, ensuring cost-effective purchasing while maintaining quality.

·  Develop and maintain detailed records of maintenance activities, equipment inventories, and facility improvements.

 

Project Management

·  Plan, coordinate, and oversee facility improvement projects, including renovations, expansions, and new construction.

·  Collaborate with architects, engineers, and contractors to ensure project specifications are met and work is completed on schedule and within budget.

·  Manage project timelines, budgets, and resources, providing regular progress reports to the General Manager.

 

Staff Management

·  Recruit, train, and supervise facilities and maintenance staff, setting clear performance goals and expectations.

·  Conduct regular performance evaluations and provide feedback, support, and professional development opportunities.

·  Address staffing issues, including managing schedules, handling conflicts, and ensuring adequate coverage for all shifts.

 

Communication and Coordination

·  Serve as the main point of contact for facilities-related inquiries and issues from school administrators, staff, and external partners.

·  Foster strong working relationships with various departments and stakeholders to understand their needs and address facility-related concerns.

·  Provide regular updates to the General Manager on facilities operations, maintenance activities, budget status, and ongoing projects.

 

Emergency Response and Preparedness

·  Develop and maintain comprehensive emergency response plans and procedures for all facilities.

·  Coordinate emergency drills and training sessions to ensure staff and students are prepared for various emergency situations.

·  Respond to and manage emergency incidents, coordinating with local authorities and ensuring swift resolution of issues.

 

Sustainability Initiatives

·  Implement and promote sustainability practices within facilities management, including energy conservation, waste reduction, and green building practices.

·  Evaluate and recommend sustainable technologies and practices to enhance the environmental performance of school facilities.

 

Customer Service

·  Ensure a high level of customer service by addressing facility-related concerns promptly and professionally.

·  Develop and implement feedback mechanisms to gather input from school staff and users regarding facility conditions and services.
